Credit card statement PDF to CSV: signs, billing cycles and tie-out

Credit card statements trip up converters more than bank statements do. Three things cause most of the errors: the sign convention, billing cycles that don't follow calendar months, and transactions split into separate sections.

1. Get the sign convention right

  • On a card statement, purchases increase what you owe and usually print as positive numbers. Payments and credits print as negative or with "CR".
  • For a single Amount column in QuickBooks or Xero, purchases must be negative (money out of the card account) and payments positive.
  • QuickBooks Online also accepts a 4-column layout with separate Debit and Credit columns, which avoids flipping signs.

2. Capture every section

  • Statements list purchases, payments and credits, fees and interest in separate blocks. Interest and fees are often near the end and easy to miss.
  • Business cards with several employee cards list each card's charges separately. Merge them into one file per account and sort by date.
  • Ignore summary tables (rewards, year-to-date totals). They are not transactions.

3. Use the posting date consistently

Many statements show a transaction date and a posting date. Pick one, usually the posting date, which is what decides which statement a charge lands on, and use it for every row.

4. Tie out to the billing cycle

  1. Previous balance − payments and credits + purchases + fees + interest = new balance.
  2. Reconcile to the statement closing date, not month-end.
  3. Each new balance must equal the next statement's previous balance.

Our free tie-out checker shows the row where a CSV stops balancing. Card-specific notes: Amex, Capital One, Citi.

Importing the result into QuickBooks Online

  1. In QuickBooks Online go to Transactions → Bank transactions, open Link account ▾ → Upload from file.
  2. Choose the .qbo, .qfx or CSV file. Intuit's limits are 350 KB and 1,000 lines per file, so split long periods.
  3. Pick the matching QuickBooks account, map columns (CSV only), then review everything in For review.
  4. If the account is already connected to a bank feed, upload only dates before the feed started, or you will create duplicates.

Then reconcile each month against its statement. If QuickBooks says the beginning balance is off, see fixing a beginning balance discrepancy.
