How to import PDF bank statements into QuickBooks Online
QuickBooks Online (QBO) cannot import a PDF statement directly. You need CSV or a Web Connect (.qbo) file.
- Convert the PDF into a CSV (Date, Description, Amount, or Date, Description, Credit, Debit) or into a .qbo Web Connect file.
- Check the date window. Look at the transactions already in QBO for that account so you don't import overlapping dates and create duplicates.
- Upload: in QBO go to Transactions → Bank transactions → Link account → Upload from file. Choose the file and map it to the right account.
- Map the columns (CSV only): choose the date format, then decide whether amounts are in one column or two.
- Review in the For Review tab. Categorize, match or exclude each transaction, then reconcile the account against the statement's ending balance.
Tip: Intuit documents a limit on how many transactions one upload can take, and QBO may refuse files that go back too far. Split large catch-up jobs into separate months.
