Mercury statement to QuickBooks or Xero: bank feed, QuickBooks CSV, PDF statements and tie-out
Mercury accounts are common in startup and small-business books. Mercury gives you several ways to get transactions out, so the bookkeeping job is less about converting files and more about picking the right route for each month and proving nothing is missing or doubled.
What Mercury gives you
- Bank feed to QuickBooks Online, Xero and NetSuite. Mercury says that when you connect, it sends a bank feed with the amount, description and transaction date, and that the feed syncs automatically several times a day (Mercury: managing accounting integrations). You start the connection from Mercury under Settings → Integrations (Mercury: integrating with QuickBooks Online; Mercury: integrating with Xero).
- A QuickBooks CSV for each monthly statement. On Documents & Data → Statements, pick the account, then open the three-dot menu on a statement row and choose QuickBooks CSV (or NetSuite CSV). Mercury calls it a pre-formatted file to upload to your bookkeeping software (Mercury: export statements, receipts and CSVs).
- Filtered exports. On the Transactions page, Export all or apply filters and Export filtered, as .csv or .xlsx (Mercury). Mercury says these exports are done from the dashboard on the web.
- Monthly PDF statements for each account, generated between the 1st and 3rd of each month, with all activity for the period. From Documents & Data (or View Statements on an account page), choose the account, then select one or more months and Download. A custom statement can cover part of the current month (Mercury: downloading monthly statements).
Mercury describes itself as a fintech company, not an FDIC-insured bank. Banking services are provided through Choice Financial Group and Column N.A. (Mercury). Note which one applies in your workpapers, since it may be the name on the account documents.
What Mercury's help pages don't say
- How far back statements go. The statements page shows a year at a time; we didn't find a stated limit on how many years stay available. Download every month the books need now.
- What's in the QuickBooks CSV. Mercury doesn't list its columns, date format or sign convention. Open the file before uploading and check it matches what QuickBooks expects (below).
- QuickBooks bank-feed history. For Xero, Mercury says you choose at connection whether to sync historic transactions or start from today (Mercury); it doesn't say how many months "historic" covers. For QuickBooks, its page doesn't say how far back the first sync goes. Check the earliest date that actually lands, and treat everything before it as a gap.
- QuickBooks Desktop. Mercury says its integration doesn't currently support QuickBooks Desktop (Mercury), and we found no .qbo (Web Connect) download on the pages we read. See can QuickBooks Desktop import a PDF bank statement.
Which route for which months
- Going forward: the bank feed is Mercury's own feature and usually the simplest. Use it.
- Catch-up months before the feed: use the QuickBooks CSV for each statement month (QuickBooks), or a CSV or the PDF (Xero), and import only dates before the feed's first transaction.
- Proof for each month: the PDF statement is what you tie out to, whichever file you import.
QuickBooks Online
- Enrichment (GL codes, classes, receipts, vendors synced from Mercury) is optional. Mercury says enrichment needs QuickBooks Simple Start or higher and that Solopreneur isn't supported; elsewhere on the same page it says categorizing and syncing payments needs Essentials or higher (Mercury). The two lines disagree, so check with Mercury if your client is on Simple Start. The bank feed itself works either way.
- Mercury says syncing enriched data doesn't create a duplicate: it updates the existing bank feed entry, and QuickBooks may prompt you to match it (Mercury). Internal transfers are created as transfers automatically (Mercury).
- If a feed breaks, Mercury says to disconnect in Mercury, then in QuickBooks go to Bank transactions → Link account ▾ → Manage connections and turn off every Mercury account before reconnecting. For a Treasury account linked before April 2025, map to the same GL account and pick a start date after the last Treasury transaction already in QuickBooks, to avoid duplicates (Mercury).
- For months before the feed, Intuit's manual upload takes a PDF or image statement in English, or a QBO, QFX or CSV file. A list file must be 350 KB or less, with 3 columns (Date, Description, Amount) or 4 (Date, Description, Credit, Debit), up to 1,000 lines per upload (Intuit: manually upload transactions into QuickBooks Online, updated Aug 24, 2026). If Mercury's QuickBooks CSV has other columns, delete them or map only these.
- Intuit says the file should start at least one day before your oldest QuickBooks transaction in that account (Intuit). Upload only dates before the feed started. See duplicate transactions after a bank upload.
- Intuit also says accountants can't connect a bank account for their clients (Intuit: connect bank and credit card accounts, updated Oct 1, 2026). Mercury's connection starts from the Mercury dashboard, so expect the client, or a Mercury user they add, to do that part.
Xero
- The Mercury–Xero sync is one-way: changes in Xero don't flow back to Mercury (Mercury).
- Mercury says Xero connections that didn't complete its integration upgrade were disconnected on February 18 and need reconnecting. After reconnecting, earlier categorizations stay in Mercury only. Mercury Credit Card users should reconcile what's left in the old credit account in Xero and archive it, since card transactions now feed a separate "Mercury Credit" account (Mercury). If a client's Xero file shows a gap around then, check this first.
- Mercury Bank is on Xero's list of banks with validated PDF extraction for selected statement types (checked 26 Oct 2026). Xero's PDF import is for US and Canada organizations, not the Xero Ledger plan; files must be English, 35 MB or less, up to 100 pages, at least 200 DPI, not password protected, one file per bank account. Xero also says to prefer OFX over PDF if your bank offers it (Xero Central: import a PDF bank statement).
- For a CSV, Xero needs at least Date and Amount, with money in positive and money out negative in one column, and no opening or closing balance columns (Xero Central: import a bank statement in CSV format). Mercury's QuickBooks CSV isn't described as a Xero file, so check its columns and signs first.
- Xero treats lines matching ones already in Xero as duplicates and won't import them (Xero Central), but feed and file lines can differ in wording, so import only the months the account doesn't already have.

Tie out each month before you import
- For each account: opening balance + deposits − withdrawals = closing balance on the Mercury statement, to the cent.
- Chain the months: each closing balance equals the next statement's opening balance for the same account.
- Sum the CSV rows for the month and compare them with the statement's net change. A difference usually means a filter, a pending item, or a transfer between Mercury accounts.
- Spot-check the first and last days of the period and the largest few items against the PDF.
The full method is in check a bank statement PDF is complete before you import it. Our free tie-out checker runs in your browser and shows the row where a CSV stops balancing. Then reconcile one statement at a time, oldest first; if QuickBooks says the beginning balance is off, see beginning balance doesn't match.

Where LedgerReady fits
For most Mercury months, the bank feed or Mercury's own exports are the right tool. We're useful when all you have is the PDF statements: a client who sends PDFs and won't share dashboard access, a closed account, or months you need to tie out to the printed balances. If you'd rather not convert and check each month yourself, LedgerReady turns digital statement PDFs into a QBO file, a Xero CSV, a plain CSV and a tie-out sheet showing every month matches its opening and closing balance. It costs $15 per statement-month, and we aim to deliver within 12 hours. Tie-out guarantee: if the output doesn't reconcile to the statement's opening and closing balances and we can't fix it, you don't pay for that statement.
Skip the manual work
We turn statement PDFs into QBO, Xero and CSV files plus a tie-out sheet. $15 per statement-month, $149 for a 12-month catch-up. Prefer to check it yourself? Our tie-out checker runs in your browser. See how pros do catch-up.
