Sandy Spring Bank statement to QuickBooks or Xero: the Atlantic Union Bank conversion, old statements and tie-out

Sandy Spring Bank merged into Atlantic Union Bank effective April 1, 2025. Atlantic Union Bank kept running the branches under the Sandy Spring Bank name until the systems were integrated in October 2025, and its welcome guide now describes Sandy Spring Bank as a division of Atlantic Union Bank (Atlantic Union Bank: Sandy Spring Bank welcome guide). Sandy Spring Bank's own website didn't respond when we checked on 27 Oct 2026, so everything below comes from Atlantic Union Bank's pages and documents. For a catch-up, that means two banks in one account history: Sandy Spring Bank statements up to the conversion, and Atlantic Union Bank statements after it. This guide covers former Sandy Spring Bank business checking, savings and money market accounts.

What Atlantic Union Bank gives you

  • The same account, in most cases. The welcome guide says account numbers don't change in most cases, that the client will be contacted directly if one does, and that Sandy Spring Bank checks can be used until they run out (Atlantic Union Bank: Sandy Spring Bank welcome guide). Debit card numbers do change.
  • The same login, moved across. The quick start guide says business users log in from October 14 with their existing company ID and username run together as one username, plus their existing password, then verify with a one-time passcode, create a new password and accept the Online Banking Agreement and Electronic Consent. Existing online banking users don't re-enroll (Atlantic Union Bank: Sandy Spring Bank quick start guide).
  • History, statements and downloads online. The Online Banking Agreement lists transaction histories "to the extent available", copies of monthly online account statements and transaction downloads among the basic features for all accounts (Atlantic Union Bank: Online Banking Agreement and Electronic Consent, effective April 1, 2024). The Business Online Banking page lists account and payment reports, eStatements with access to historical eStatements, and Account Reconciliation among its Treasury Management services (Atlantic Union Bank: Business Online Banking).
  • A QuickBooks link. The same page says businesses can manage their finances through QuickBooks or Quicken through Direct Connect or Web Connect (Atlantic Union Bank: Business Online Banking), and the Quicken and QuickBooks page links guides to disconnect before the conversion and reconnect after the first login (Atlantic Union Bank: Quicken and QuickBooks).
  • Monthly statements. The Business Deposit Account Agreement says a statement is made available monthly for checking and money market accounts, quarterly for certain savings accounts, that each statement shows the dates it covers, and that statements are generally available in Online Banking and Mobile Banking once the client enrolls (Atlantic Union Bank: Business Deposit Account Agreement, effective August 11, 2025).

Before you start

Where Atlantic Union Bank's documents don't line up

  • October 13 or October 14. The welcome guide is headed "Effective October 13, 2025", says the systems were integrated on October 13, 2025 and that the new account benefits and features took effect on October 13 (Atlantic Union Bank: Sandy Spring Bank welcome guide). The quick start guide says "On October 14, Sandy Spring Bank is becoming Atlantic Union Bank", and both guides start the new online banking on October 14 (Atlantic Union Bank: Sandy Spring Bank quick start guide). Neither says which statement was the last Sandy Spring Bank one, so look at the statements themselves for where the cycle changed.
  • The old app: October 9 or October 10. The quick start guide says the existing Sandy Spring Bank app could be used until October 9 (Atlantic Union Bank: Sandy Spring Bank quick start guide). The welcome guide's checklist says until October 10 (Atlantic Union Bank: Sandy Spring Bank welcome guide). It only matters if the client was downloading files that week.
  • A welcome page that has gone. Both guides send readers to a welcome page on Atlantic Union Bank's site for the latest details. When we checked on 27 Oct 2026 that address redirected to the bank's home page, so whatever it said about timing is no longer there to read.
  • Paper copies: branch or letter. The Business Online Banking page offers access to historical eStatements with the option to order paper copies at a local branch (Atlantic Union Bank: Business Online Banking). The Online Banking Agreement says that if the client closes its accounts, online access ends and paper copies of historical statements are requested by writing to the bank, and that additional fees may apply (Atlantic Union Bank: Online Banking Agreement and Electronic Consent). The fee schedule lists no price for statement copies (Atlantic Union Bank: Deposit Account Fee Schedule, effective October 6, 2025). Ask the bank for the price before ordering.
  • A QuickBooks Online guide that isn't the bank's. The Getting Started Guide for QuickBooks Online linked from the Quicken and QuickBooks page is a generic financial institution template from the OFX Connectivity Group dated 03/16/2016; its examples use a placeholder bank, and it never names Atlantic Union Bank or Sandy Spring Bank (Atlantic Union Bank: Getting Started Guide for QuickBooks Online). Its menu paths are ten years old, so use Intuit's current steps below.
  • Two mailing addresses for errors. The Online Banking Agreement gives one PO box for questions about electronic transactions in its consumer section and a different PO box number in its business section on errors and questions (Atlantic Union Bank: Online Banking Agreement and Electronic Consent). If the client reports an error in writing, have them confirm the address with the bank first.

What Atlantic Union Bank's documents don't say

  • Xero. None of the pages or agreements we read mention it.
  • Whether Sandy Spring Bank eStatements and transaction history from before October 2025 moved to Atlantic Union Bank online banking, and if so how far back. The welcome guide and quick start guide cover logins, cards, checks and templates, not records.
  • How many months of transaction history or years of eStatements online banking shows.
  • Which download formats business online banking offers, and what columns a CSV has. The only format named is the QuickBooks Web Connect (.QBO) file in the generic 2016 guide.
  • What view-only access looks like for a business user. The agreement says full or limited, without listing what limited covers.
  • The price of a statement copy or of research. The fee schedule says it doesn't contain all Treasury Management fees (Atlantic Union Bank: Deposit Account Fee Schedule).
  • The product change letter and Deposit Account Disclosure Guidebook the welcome guide refers to were part of the mailed packet, and we didn't find them online.

Older months and fees

The Online Banking Agreement says that when a client with e-statements closes its accounts, its access to the online service ends too, and paper copies of historical statements have to be requested from the bank (Atlantic Union Bank: Online Banking Agreement and Electronic Consent). The deposit agreement says check images are available through online banking, that copies of paid checks are available from the bank, and that original checks are destroyed after a reasonable period the bank decides (Atlantic Union Bank: Business Deposit Account Agreement). The fee schedule publishes no price for statement copies, so get a quote before ordering a run of old months.

So save every statement and every download the client can reach now, starting with the Sandy Spring Bank months. Ask the client for any Sandy Spring Bank statement PDFs it saved before October 2025, since nothing we read says they are still online.

Clauses worth telling the client about

Among its recommended preventive measures, the deposit agreement says to reconcile account statements when received, to assign responsibilities for the business account to multiple individuals, and to use dual control, with different people reconciling statements and withdrawing funds (Atlantic Union Bank: Business Deposit Account Agreement). An outside bookkeeper who reconciles but can't move money fits that. A monthly tie-out supports the client's own review; it doesn't replace it.

The deposit agreement also says 30 days after the bank mails or otherwise makes a statement available is a reasonable time to review it and report unauthorized checks or other errors, and that if the client doesn't report within that time, the bank isn't required to reimburse the loss; it gives six months for an unauthorized, missing or altered endorsement (Atlantic Union Bank: Business Deposit Account Agreement). It counts a statement as available on the day the paper copy is mailed or the electronic one appears in online banking. A catch-up that starts months later can't recover those windows, so tell the client, and tie out each new statement as soon as it posts.

If the client chose paperless statements for an authorized signer, the agreement says that signer is responsible for sharing them with the business (Atlantic Union Bank: Business Deposit Account Agreement). Find out who receives the statements before you ask for them. The agreement says it replaces all prior agreements about the account, so for months before August 2025 the Sandy Spring Bank terms then in force may have applied; the current documents are listed on Atlantic Union Bank: Disclosures.

Which route for which months

  • Going forward: each Atlantic Union Bank statement, saved from online banking once it posts, plus a download for the same statement dates if you use files rather than a feed.
  • From October 2025 to now: statements and downloads from online banking, as far back as the client's screen goes.
  • Sandy Spring Bank months: the client's saved statements, or copies from the bank once the client knows the price.

QuickBooks Online

  • Intuit's manual upload takes a PDF or image statement in English, or a QBO, QFX or CSV file. A list file must be 350 KB or less, with 3 columns (Date, Description, Amount) or 4 (Date, Description, Credit, Debit), up to 1,000 lines per upload (Intuit: manually upload transactions into QuickBooks Online, updated Aug 24, 2026). Intuit says the file should start at least one day before your oldest QuickBooks transaction in that account (Intuit). If a feed or an earlier file already brought in some of a period, upload only the dates it missed, or see duplicate transactions after a bank upload.
  • Atlantic Union Bank names Web Connect but doesn't list its download formats. If the client's download offers a .QBO or .QFX file, it can go through Intuit's manual upload. If it's a CSV, check the columns against Intuit's 3 or 4 column layout first. For the Sandy Spring Bank months, plan around the PDF.
  • To connect an account, Intuit's steps are in Intuit: connect bank and credit card accounts to QuickBooks Online. A connection doesn't reach back past what the bank holds online, so fill the older months from statements or files.
  • For QuickBooks Desktop, Intuit describes Web Connect as a .QBO file you download from your bank and import (Intuit: set up bank accounts for Bank Feeds in QuickBooks Desktop), and says you can't download the same transactions into a company file more than once, and once you delete downloaded transactions you can't download them again (Intuit: download bank feed transactions in QuickBooks Desktop, updated Aug 5, 2026). If the client reconnected after the October 2025 conversion, check the first weeks after it for gaps and repeats. For periods with only a PDF, see can QuickBooks Desktop import a PDF bank statement.

Xero

  • Sandy Spring Bank is on Xero's US list of banks with validated PDF extraction, as "Sandy Spring Bank" (checked 27 Oct 2026), so high-quality results are likely for its statements, but Xero says it validates selected statement types and recommends OFX over PDF when your bank offers it. The statements issued after the conversion come from Atlantic Union Bank, so check whether Xero's list names Atlantic Union Bank too; Xero says accuracy might vary for banks that aren't listed. Xero's PDF import is for US and Canada organizations, not the Xero Ledger plan; files must be English, 35 MB or less, up to 100 pages, at least 200 DPI, not password protected, one file per bank account (Xero Central: import a PDF bank statement). Check every imported statement against the PDF.
  • If you build a CSV instead, Xero needs at least Date and Amount, with money in positive and money out negative in one column, and no opening or closing balance columns (Xero Central: import a bank statement in CSV format).
  • Xero treats lines matching ones already in Xero as duplicates and won't import them (Xero Central), but don't rely on that; import only the periods the account doesn't already have.

More detail: how to import bank statements into Xero from a PDF and closed bank account statements into QuickBooks or Xero.

Tie out each statement before you import

  1. Beginning balance + deposits − withdrawals = ending balance on each Sandy Spring Bank or Atlantic Union Bank statement, to the cent, using the statement's own period dates.
  2. Chain the statements: each ending balance equals the next statement's beginning balance, and each period starts the day after the last one ended. Pay most attention to the join between the last Sandy Spring Bank statement and the first Atlantic Union Bank one. A gap or overlap usually means a missing statement or a cycle that changed at the conversion.
  3. Sum the download's lines for the same dates and compare them with the statement's net change. A difference usually means a date range cut at month end instead of the statement end, a duplicate from an overlapping download, or an item that posted after the file was made. Watch October 9 to 14, 2025 closely.
  4. Spot-check the first and last days of the period and the largest few items against the PDF, using the check images for any check that doesn't match.

The full method is in check a bank statement PDF is complete before you import it. Our free tie-out checker runs in your browser and shows the row where a CSV stops balancing. Then reconcile one statement at a time, oldest first; if QuickBooks says the beginning balance is off, see beginning balance doesn't match.

Where LedgerReady fits

For a former Sandy Spring Bank account, the history runs across two banks, Atlantic Union Bank's documents don't say whether the Sandy Spring Bank months are still online, the download formats aren't listed, statement copy prices aren't published, and the documents don't mention Xero, so the PDF statements are the record for most catch-ups, for Xero and for an account about to close. If you'd rather not convert and check each statement yourself, LedgerReady turns digital statement PDFs into a QBO file, a Xero CSV, a plain CSV and a tie-out sheet showing every statement matches its opening and closing balance. It costs $15 per statement-month, and we aim to deliver within 12 hours. Tie-out guarantee: if the output doesn't reconcile to the statement's opening and closing balances and we can't fix it, you don't pay for that statement.

Skip the manual work

We turn statement PDFs into QBO, Xero and CSV files plus a tie-out sheet. $15 per statement-month, $149 for a 12-month catch-up. Prefer to check it yourself? Our tie-out checker runs in your browser. See how pros do catch-up.
