Citizens Bank statement to QuickBooks or Xero: Web Connect downloads, PDF statements and tie-out
Citizens Bank (Citizens Bank, N.A.) offers business checking, savings and credit cards with online banking. Its pages cover downloading account data for QuickBooks and Quicken and where statements live, but give two different answers on how far back statements go. Here's what Citizens documents, and what it doesn't, for getting a business account's history into QuickBooks or Xero.
What Citizens gives you
- Web Connect downloads for QuickBooks and Quicken. Sign in to online banking and click the Export icon on the account summary page, or the Download Account Data button on the account history page, then choose the software: Quicken, Quicken for Mac or QuickBooks (Citizens: business accounting software compatibility, no date; the same steps are on Citizens: business account management resources). Citizens says it follows Intuit's product sunset policy, so older QuickBooks versions may stop working. Intuit describes Web Connect as a .QBO file you download from your bank and import (Intuit: set up bank accounts for Bank Feeds in QuickBooks Desktop, updated Aug 5, 2026).
- Statements in the Document Center. Log in to online banking and open the Document Center tab, then use the filter to pick the account and timeframe. Citizens says statements can be saved or downloaded any time for longer storage (Citizens: Online Banking FAQs, no date). Citizens' digital terms say an eStatement shows the same information as the front and back of the paper statement (Citizens: Digital Terms and Conditions, section 9.3).
- 18 months of transaction history on screen. The FAQ and the digital terms both say you can view up to 18 months of transactions for eligible deposit accounts (Citizens; Citizens). For anything older, the statements are what you have.
- Business credit cards are separate. Citizens business cards are serviced in CentreSuite, not regular online banking. Its cardholder guide says to pick account activity under the statement menu, then download in the QuickBooks (QBO) format for QuickBooks Online; for QuickBooks Desktop it says to search for "Citizens - Business Credit Card" in QuickBooks's bank list (Citizens: business credit card cardholder guide, no date).
Things to know before you start
- Bookkeeper access. Citizens' digital terms describe a Super User (Business Admin) who can set up Sub Users with their own ID and password. A Sub User can, at a minimum, view balances, transactions, check images and digital statements for the accounts they're given, and can also make transactions if the Super User grants it (Citizens: Digital Terms and Conditions). The terms don't name a view-only role, so if your client sets you up, ask them not to grant transaction rights.
- Statements may not cover every account. The digital terms say credit card, mortgage, business loan, combined and relationship statements may not be available online (Citizens). For a business card, look in CentreSuite instead.
- Accounts missing from the profile. Citizens says business owners can ask to have eligible personal accounts linked to their business online banking profile; business online banking support is 1-877-229-6428 (Citizens). Check you have every account the books need before you start.
- Older statements are ordered. For a statement older than the online window, the FAQ says to order it through the Contact Us link (Citizens). Ask early in a catch-up job.
Where Citizens' pages don't agree
- How far back statements go. The Online Banking FAQ says up to 18 months of statements are available online, and older ones are ordered through Contact Us (Citizens: Online Banking FAQs). The digital terms say you can view up to 7 years of eligible account statements (Citizens: Digital Terms and Conditions), and the checking disclosures say up to 7 years of statements and check images (Citizens: checking disclosures). Plan on 18 months and save every PDF as it posts; if the Document Center shows more, use it.
- Statements in the mobile app. The checking disclosures say statements are in the Document Center of online banking or the Citizens mobile app (Citizens). The FAQ's mobile app note says e-statements aren't available in the app (Citizens). Use online banking on a computer to download statements.
- Which software the download covers. The business pages say "small business accounting software" but list only Quicken, Quicken for Mac and QuickBooks (Citizens). The FAQ's export answer mentions only Quicken and says to pick "the format you need" without listing formats (Citizens). Check which formats your client's screen offers.
What Citizens' pages don't say
- A direct QuickBooks Online connection for deposit accounts. The pages we read describe Web Connect downloads, not a QuickBooks Online bank feed. Search for Citizens in QuickBooks Online's bank list (Intuit: connect bank and credit card accounts, updated Oct 1, 2026); we haven't confirmed one either way. Intuit says accountants can't connect a bank account for their clients (Intuit).
- CSV downloads and Xero. Citizens' pages don't mention a CSV option or a Xero bank feed.
- How far back a download reaches. Not stated beyond the 18 months of transactions on screen.
- The statement file format. The FAQ says statements can be saved or downloaded but doesn't say they're PDFs; check you get a digital PDF, not a printout.
- Statements after closing. Not covered. Download every month the books need before the account closes.
Which route for which months
- The last 18 months, on QuickBooks: the Web Connect download, in date ranges that don't overlap anything already in QuickBooks.
- Older months, Xero, or a closed account: the statements, ordering any the Document Center no longer shows.
- Business credit cards: CentreSuite's QBO download or its statements.
- Every month: tie the imported lines out to the statement before you reconcile (below).
QuickBooks Online
- Intuit's manual upload takes a PDF or image statement in English, or a QBO, QFX or CSV file. A list file must be 350 KB or less, with 3 columns (Date, Description, Amount) or 4 (Date, Description, Credit, Debit), up to 1,000 lines per upload (Intuit: manually upload transactions into QuickBooks Online, updated Aug 24, 2026). Intuit says the file should start at least one day before your oldest QuickBooks transaction in that account (Intuit). See duplicate transactions after a bank upload.
- QuickBooks Desktop imports the Web Connect file from Banking → Bank Feeds → Import Web Connect Files (Intuit). For months with only a PDF, see can QuickBooks Desktop import a PDF bank statement.
Xero
- "Citizens Bank" is on Xero's list of banks with validated PDF extraction (checked 26 Oct 2026). Xero doesn't say which Citizens Bank it means, and it says it validates selected statement types, so check every imported month. Xero's PDF import is for US and Canada organizations, not the Xero Ledger plan; files must be English, 35 MB or less, up to 100 pages, at least 200 DPI, not password protected, one file per bank account (Xero Central: import a PDF bank statement).
- If you build a CSV instead, Xero needs at least Date and Amount, with money in positive and money out negative in one column, and no opening or closing balance columns (Xero Central: import a bank statement in CSV format).
- Xero treats lines matching ones already in Xero as duplicates and won't import them (Xero Central), but don't rely on that; import only the months the account doesn't already have.
More detail: how to import bank statements into Xero from a PDF and closed bank account statements into QuickBooks or Xero.
Tie out each month before you import
- Opening balance + deposits − withdrawals = closing balance on the Citizens statement, to the cent.
- Chain the months: each closing balance equals the next statement's opening balance.
- Sum the file's lines for the statement period and compare them with the statement's net change. A difference usually means a missing transaction type, an overlapping download, or a date range off by a day.
- Spot-check the first and last days of the period and the largest few items against the PDF.
The full method is in check a bank statement PDF is complete before you import it. Our free tie-out checker runs in your browser and shows the row where a CSV stops balancing. Then reconcile one statement at a time, oldest first; if QuickBooks says the beginning balance is off, see beginning balance doesn't match.

Where LedgerReady fits
For Citizens on QuickBooks, the Web Connect download covers the last 18 months; the statements matter for anything older, Xero, or a closed account, and for any month you want tied to the bank's printed balances. If you'd rather not convert and check each month yourself, LedgerReady turns digital statement PDFs into a QBO file, a Xero CSV, a plain CSV and a tie-out sheet showing every month matches its opening and closing balance. It costs $15 per statement-month, and we aim to deliver within 12 hours. Tie-out guarantee: if the output doesn't reconcile to the statement's opening and closing balances and we can't fix it, you don't pay for that statement.
Skip the manual work
