Live Oak Bank statement to QuickBooks or Xero: QuickBooks connection, PDF statements and tie-out
Live Oak Bank is an online bank with business checking and savings accounts. Its support site covers a QuickBooks connection and where statements live, but says nothing about downloading transaction files. Here's what Live Oak documents, and what it doesn't, for getting a business account's history into QuickBooks or Xero.
What Live Oak gives you
- A QuickBooks connection that uses an Access ID and PIN. In QuickBooks, choose Connect Accounts and search for Live Oak Bank. QuickBooks asks for a QuickBooks Access ID and PIN, which you generate from a link in the prompt by signing in to Live Oak; then pick the Live Oak account(s) to connect (Live Oak: connect QuickBooks with my Live Oak Bank accounts, Nov 8, 2022). Once linked, Live Oak says you can download transactions directly into QuickBooks (Live Oak: after I enroll, Nov 8, 2022). Live Oak's business checking page lists QuickBooks integration on all three business checking accounts (Live Oak: business checking, no date), and a separate article gives the same steps for business savings (Live Oak: connect QuickBooks to business savings, Oct 31, 2023).
- Online statements. Sign in to the Live Oak app or online banking, select an account on the Accounts Overview page, and choose View Statements (Live Oak: how do I view online statements, updated Aug 16, 2021). Live Oak's deposit agreement says you get a monthly statement for checking, savings and CD accounts (Live Oak: Business Deposit Account Agreement, effective Jun 23, 2025), and its E-SIGN consent covers periodic account statements in electronic form (Live Oak: E-SIGN consent, v4 12/01/2021). That consent lists Adobe Reader for opening PDF documents, but no page we read says what format the statement downloads in; check you get a digital PDF, not a printout.
- Transactions on screen. Selecting an account on Accounts Overview shows its transactions (Live Oak: how do I view my account transactions, updated Aug 16, 2021). The article doesn't mention exporting them.
Things to know before you start
- Five Access ID and PIN generations. Live Oak says you can generate the Access ID and PIN only five times; after that you have to call its Customer Success Team. It recommends storing them securely. They're used only for QuickBooks and don't change how you sign in to Live Oak (Live Oak: find my Access ID and PIN, Nov 8, 2022). Live Oak says it uses them because it won't share online banking credentials with outside parties, and that linking gives QuickBooks access to balance and transaction information (Live Oak: why an Access ID and PIN, Nov 8, 2022).
- Who can connect. Generating the Access ID and PIN means signing in to Live Oak, so whoever has the login does this step. Intuit says accountants can't connect a bank account for their clients (Intuit: connect bank and credit card accounts, updated Oct 1, 2026). Live Oak advertises permissions and access controls on business checking (Live Oak), but we didn't find a page describing a bookkeeper or view-only role. Its E-SIGN consent also says online banking, the app and electronic statements need an SMS text-enabled mobile device (Live Oak). Plan for the client to download statements and set up the connection.
- When the feed stops. Live Oak's help page for failed downloads just points you to QuickBooks Support (Live Oak: my transactions won't download in QuickBooks, Nov 8, 2022). After any break, check the feed for a gap and fill it from the statement.
- Check statements promptly. Live Oak's deposit agreement gives you no more than 30 days from when a statement is made available to report unauthorized signatures or alterations, and 60 days for other errors (Live Oak: Business Deposit Account Agreement). Tying out each month soon after it closes is also how you catch those.
- Closing or dormant accounts. Live Oak's business savings article says to call 866.518.0286 to close the account (Live Oak: close my business savings account, updated Aug 19, 2025). Checking and savings accounts become dormant after 24 months without activity, with a $10 monthly fee; if the balance can't cover it, Live Oak charges what's left and closes the account (Live Oak: inactive vs dormant accounts, updated Aug 18, 2021). Live Oak doesn't say whether statements stay available after closure, so download every month the books need first.
Where Live Oak's pages don't agree or look dated
- The QuickBooks steps are from 2022. The connection articles were last updated Nov 8, 2022 and tell you to click "Connect Accounts" in QuickBooks (Live Oak). QuickBooks screens change; if you can't find that button, start from Intuit's current steps (Intuit) and search for Live Oak Bank.
- Support hours. The QuickBooks Access ID articles give 866.518.0286, Monday to Friday 8:00 a.m. to 8:00 p.m. ET (Live Oak). The support site's Contact Us box and its Business Checking FAQ give the same number with hours to 11:00 p.m. ET (Live Oak: Business Checking FAQ).
- Statements vs transactions. The "view online statements" article opens with the same sentence as the transactions article ("You can access your account transactions…") before reaching View Statements (Live Oak). Make sure you're downloading the monthly statement, not a screen of recent activity.
What Live Oak's help pages don't say
- Downloads. We didn't find a Live Oak page about exporting transactions as CSV, QBO, QFX or OFX. If you need a file and can't use the connection, the PDF statement is what you have. For QuickBooks Desktop, see can QuickBooks Desktop import a PDF bank statement.
- Xero. Live Oak's pages mention only QuickBooks. We didn't find a page about a Xero bank feed; we haven't confirmed one either way.
- How far back statements go, and how far back the first QuickBooks download reaches. Neither is stated. For months the feed doesn't bring in, use the statements.
- Statements after closing. Not covered (see above).
Which route for which months
- Going forward on QuickBooks: the Live Oak connection.
- Months before the connection, gaps after a break, Xero, or a closed account: the monthly statements.
- Every month: tie the imported lines out to the statement before you reconcile (below).
QuickBooks Online
- Intuit's manual upload takes a PDF or image statement in English, or a QBO, QFX or CSV file. A list file must be 350 KB or less, with 3 columns (Date, Description, Amount) or 4 (Date, Description, Credit, Debit), up to 1,000 lines per upload (Intuit: manually upload transactions into QuickBooks Online, updated Aug 24, 2026). Intuit says the file should start at least one day before your oldest QuickBooks transaction in that account (Intuit). If the connection already brought in some of a month, see duplicate transactions after a bank upload.
Xero
- Live Oak Bank is on Xero's list of banks with validated PDF extraction (checked 26 Oct 2026), so high-quality results are likely, but Xero says it validates selected statement types. Xero's PDF import is for US and Canada organizations, not the Xero Ledger plan; files must be English, 35 MB or less, up to 100 pages, at least 200 DPI, not password protected, one file per bank account (Xero Central: import a PDF bank statement). Check every imported month against the statement.
- If you build a CSV instead, Xero needs at least Date and Amount, with money in positive and money out negative in one column, and no opening or closing balance columns (Xero Central: import a bank statement in CSV format).
- Xero treats lines matching ones already in Xero as duplicates and won't import them (Xero Central), but don't rely on that; import only the months the account doesn't already have.
More detail: how to import bank statements into Xero from a PDF and closed bank account statements into QuickBooks or Xero.
Tie out each month before you import
- Opening balance + deposits − withdrawals = closing balance on the Live Oak statement, to the cent.
- Chain the months: each closing balance equals the next statement's opening balance.
- Sum the file's or feed's lines for the statement period and compare them with the statement's net change. A difference usually means a missing transaction type, a break in the connection, or a date range off by a day.
- Spot-check the first and last days of the period and the largest few items against the PDF.
The full method is in check a bank statement PDF is complete before you import it. Our free tie-out checker runs in your browser and shows the row where a CSV stops balancing. Then reconcile one statement at a time, oldest first; if QuickBooks says the beginning balance is off, see beginning balance doesn't match.

Where LedgerReady fits
For Live Oak on QuickBooks, use the bank connection going forward; since Live Oak documents no transaction download, the PDF statements are the record for months before it, gaps after a break, Xero, or a closed account. If you'd rather not convert and check each month yourself, LedgerReady turns digital statement PDFs into a QBO file, a Xero CSV, a plain CSV and a tie-out sheet showing every month matches its opening and closing balance. It costs $15 per statement-month, and we aim to deliver within 12 hours. Tie-out guarantee: if the output doesn't reconcile to the statement's opening and closing balances and we can't fix it, you don't pay for that statement.
Skip the manual work
We turn statement PDFs into QBO, Xero and CSV files plus a tie-out sheet. $15 per statement-month, $149 for a 12-month catch-up. Prefer to check it yourself? Our tie-out checker runs in your browser. See how pros do catch-up.
