Import a bank statement PDF into Zoho Books: PDF support, CSV mapping and tie-out
You have bank or card statements as PDFs and the books are in Zoho Books. Maybe the bank feed only reaches back so far, or the account was never connected. This guide covers when Zoho Books can read the PDF itself, what to do when it can't, and how to check every month before it goes in.
Can Zoho Books import a PDF statement directly?
Sometimes. Zoho's US help page lists PDF as an import format, but only for statements from a named set of banks and card providers: NOVO Bank, First Internet Bank, Chase Bank, Huntington Bank, Dollar Bank, TD Bank, First National Bank, Costco Anywhere Visa Card, American Express Card, Bank of America (bank and credit card), Regions Bank, Capstar Bank, Southwest Airlines Credit Card, Truist Bank, Chase Card, Chase Marriott and Capital One Credit Card (Zoho Books help: add transactions).
- If your statement is from one of those, pick the Bank Name during import. If the PDF is password protected, tick This file is password protected and enter the password. You then get a Preview tab before you click Import (Zoho).
- If your bank isn't on the list, Zoho's help doesn't describe a PDF route, so the PDF has to become one of the file types below first.
- The list comes from the US help page as of Oct 2026. Zoho's shorter FAQ pages still list formats without PDF (Zoho: supported file formats), and Zoho doesn't say whether other regional editions have the same bank list. Check the Import Statement screen in your own organization.
- Even with a supported bank, the import only shows Zoho could read the file. Tie out each month (step 1 below) before you rely on it.
What Zoho Books accepts besides PDF
- CSV, TSV, OFX, QIF, CAMT.053, CAMT.054 and MT940, per the help page; the FAQ pages also list XLS (Zoho; Zoho: how to import a bank statement).
- The help page describes statement import for bank and credit card accounts you added manually. If your bank can't be connected, Zoho says to add the account manually and import statements (Zoho: add accounts).
- We didn't find a documented file-size or row limit for statement imports on Zoho's help pages. If a large file fails, try one statement-month per file.
Shape a CSV that Zoho Books can map
For CSV and TSV files, Zoho asks you to choose an Amount Column Type, then map your columns on Map Fields (Zoho):
- Double Column: separate deposit and withdrawal columns.
- Single Column and Amount Type: one amount column plus a column saying debit (withdrawal) or credit (deposit).
- Single Column with Negative Values: one amount column, positive for deposits and negative for withdrawals.
- With Double Column, or Single Column and Amount Type, amounts must be positive. A negative value there is one of Zoho's listed import errors (Zoho: errors while importing bank statements).
- Dates: Zoho's error FAQ says to enter dates in DD-MM-YYYY format (Zoho). A US bank export in MM/DD/YYYY, or a file in YYYY-MM-DD, may need converting. Check the dates on the Preview tab before you click Import, and look for any day 1-12 that came in with day and month swapped.
- Encoding and delimiter: Zoho asks for both on the first step. A wrong character encoding is another listed error (Zoho).
- Tick Save these selections for use during future imports so the mapping is ready for the next month (Zoho).
- Credit card accounts: Zoho's import pages describe signs only as deposits and withdrawals. Before importing a card month, check on the Preview tab that purchases come in as money out of the card account and payments as money in. See credit card statement PDF to CSV for the sign rules.
Starting from a PDF, the extraction steps are in how to convert a bank statement PDF to CSV.
1. Tie out each month before you import
A clean import doesn't show that every transaction on the statement made it into the file. Check each statement-month first:
- Opening balance + deposits − withdrawals = closing balance, using the figures printed on the statement, to the cent.
- Compare your totals with the statement's summary box (total deposits, total withdrawals) so you know which side is short if it misses.
- Chain the months: each closing balance equals the next statement's opening balance.
- Spot-check the first and last days of the period and the largest few items against the PDF.
The full method, with a worked example, is in check a bank statement PDF is complete before you import it. Our free tie-out checker runs in your browser and shows the row where a CSV stops balancing.
2. Avoid duplicates with bank feeds
- When you connect a bank for automatic feeds, you pick the date to fetch history from; Zoho says transactions from the last 90 days can be fetched. For transactions before that date, Zoho says to import statements manually (Zoho: add accounts). Feeds are fetched every 24 hours for banks without multi-factor authentication, and bring in the previous day's transactions (Zoho: bank feeds).
- Zoho says it automatically excludes duplicate transactions, which it defines as exact copies of original transactions. You can review them under Uncategorized Transactions → Excluded, and exclude others yourself with a reason (Zoho: duplicate transactions). A statement line and a feed line that differ in date or description may not count as exact copies, so don't rely on it: import only months before the feed's start date, and end the last file the day before the first feed transaction.
- If you import the wrong statement, or the same one twice, use Gear icon → Undo Last Import. Zoho shows the transactions it will delete first (Zoho). It undoes the last import only, which is another reason to import one month at a time and check each one.
3. Import the file
- Go to Banking on the left sidebar and select the bank or credit card account.
- Click the Gear icon → Import Statement, then Choose File (from your desktop or from Documents).
- For CSV or TSV, select the Amount Column Type, character encoding and delimiter, then Next.
- On Map Fields, check the auto-selected matches between your headers and Zoho's fields, then Next.
- On Preview, check for errors and unmapped fields, then click Import (Zoho).
Import months oldest first. The transactions come in as uncategorized, ready to match or categorize (Zoho).
4. Reconcile each month to its statement
- Check the account's opening balance before your first reconciliation. Zoho warns it can't be edited once transactions have been reconciled (Zoho: reconciliation).
- Go to Gear icon → Reconcile Account → Initiate Reconciliation, enter the statement's start date, end date and closing balance, and select transactions until the difference is zero. Only matched, categorized and manually added transactions appear in the reconciliation window, so categorize or match the imported lines first (Zoho).
- Reconcile one statement at a time. To undo an older reconciliation, Zoho says you have to undo every later one first (Zoho).
Using LedgerReady files in Zoho Books
- Plain CSV: it has five columns: Date (YYYY-MM-DD), Description, Amount (one signed column), Running Balance and Category. The signed Amount fits Single Column with Negative Values. The dates are year first, not the DD-MM-YYYY format Zoho's FAQ gives, so convert the Date column before importing (or confirm on the Preview tab that every date reads correctly). Leave Running Balance and Category unmapped, or delete them if Zoho complains. We haven't tested this file in Zoho Books.
- Xero CSV: dates are DD/MM/YYYY, day first like Zoho's format but with slashes, not dashes, and it uses one signed amount column. We haven't tested it in Zoho Books; if you use it, check the dates on the Preview tab.
- QBO file: Zoho doesn't list .qbo as a format, so use one of the CSVs instead.
- For card statements, check the signs on the Preview tab before you import.

Where LedgerReady fits
If you'd rather not convert and check each month yourself, LedgerReady turns digital statement PDFs into a QBO file, a Xero CSV, a plain CSV and a tie-out sheet showing every month matches its opening and closing balance. It costs $15 per statement-month, and we aim to deliver within 12 hours. Tie-out guarantee: if the output doesn't reconcile to the statement's opening and closing balances and we can't fix it, you don't pay for that statement.
Skip the manual work
We turn statement PDFs into QBO, Xero and CSV files plus a tie-out sheet. $15 per statement-month, $149 for a 12-month catch-up. Prefer to check it yourself? Our tie-out checker runs in your browser. See how pros do catch-up.
