Regions statement to QuickBooks or Xero: Web Connect, Direct Connect, online statements and tie-out
Regions Bank serves small businesses through Regions Online Banking. Its help pages cover two ways to get transactions into QuickBooks or Quicken, Web Connect and Direct Connect, and its statement pages cover PDF statements you can view and download online. Some of those pages are old and a few don't agree with each other, so here's what Regions documents, and what it doesn't, for getting a business account's history into QuickBooks or Xero.
What Regions gives you
- Web Connect downloads, no charge. Regions says that to download transactions for Quicken or QuickBooks without bill payments or transfers, you use Regions Bank Web Connect, at no charge. On the account details page, select the Download Transactions icon, pick your software in the Select a Format dropdown, choose the accounts, set a date range and select Submit (Regions: How do I download Regions Bank Web Connect?, no date).
- Direct Connect, paid after 90 days. Regions says Web Connect is one-way: you download transactions and match them in QuickBooks. Direct Connect is two-way: it downloads and matches transactions automatically and lets you pay bills and transfer funds from the software. Direct Connect is free for 90 days, then $14.95 or $19.95 a month depending on account type, and QuickBooks for Mac can only use Web Connect (Regions: Is there a charge to connect to QuickBooks?, no date).
- Online statements as PDFs. Regions' online statements page says you select Online Statements from the Accounts menu, find the statement, and view or download the PDF; in the mobile app you can filter statements and documents by type and year. Enrolling in Online Banking turns on online statements for small business checking, savings and money market accounts (Regions: Online statements, no date).
Things to know before you start
- QuickBooks enrollment is per business profile. Regions says to enroll for QuickBooks service for a business, you go to Business Services under the Products tab in Online Banking (Regions: Can I use QuickBooks with Online Banking?, no date) and choose which profile to link (Regions: Can I use Quicken or QuickBooks with Online Banking?, no date). The enrollment steps tick a QuickBooks Download checkbox, select an account to be used for payment, and then connect with the same Online ID and password you use for Online Banking (Regions: How do I enroll in QuickBooks?, no date).
- Bookkeeper access. Regions' Small Business Paid Services Addendum describes a People and Permissions service: a Primary Administrator, who must be a named authorized signer on the primary checking account, and Secondary Administrators can give other Authorized Users their own credentials and set which services and accounts they can use (Regions: Small Business Paid Services Addendum, revised May 7, 2026). Ask your client to add you as a user rather than sharing their login. Intuit says accountants can't connect a bank account for their clients (Intuit: connect bank and credit card accounts, updated Oct 1, 2026).
- Save the statements yourself. Regions' electronic banking agreement says it is your responsibility to download and save, or print, your online statements before they become unavailable. For a statement no longer online, it says to contact the branch where the account was opened, and copy and research fees may apply (Regions: Agreement and Disclosure Statement for Electronic Banking Services, revised May 7, 2026).
- Business credit cards. Regions says business credit card accountholders can view online statements, but paper statements are always mailed as well (Regions).
Where Regions' pages need checking
- Seven years or 18 months. The online statements page says you can view, download and print up to seven years of account history (Regions), and the digital banking page says up to seven years of bank statements (Regions: Digital banking, no date). The agreement promises less: any online statement can be accessed for at least 18 months after it's posted, Regions can set and change the period, and different accounts can have different periods (Regions). Check what the client's statement list actually shows before you plan a catch-up around seven years.
- Free or paid enrollment. Web Connect is described as no charge (Regions), but the QuickBooks enrollment steps ask for an account to be used for payment (Regions). The enrollment page doesn't say whether it sets up Web Connect or Direct Connect. Confirm which one the client is signing up for and what it costs.
- Which credentials. One Regions article says you must contact each financial institution to request a user ID and PIN (Regions: What do I need in order to use QuickBooks?, no date); the enrollment article says to connect with the same Online ID and password as Online Banking (Regions).
- Dated QuickBooks Desktop steps. Regions' "enable QuickBooks" article walks through an Online menu, Online Banking, Getting Started and Enable Accounts, and asks for a routing number and Federal Tax ID (Regions: How do I enable QuickBooks?, no date). Current QuickBooks Desktop setup runs through Banking, Bank Feeds, Set up Bank Feeds (Intuit: set up bank accounts for Bank Feeds in QuickBooks Desktop, updated Aug 5, 2026); follow Intuit's steps for the software version your client has.
- Which QuickBooks file. The Web Connect steps say to pick your software in a format dropdown, without naming a file type (Regions). Intuit says QuickBooks Desktop Web Connect only works with .qbo files, and QFX and QIF Quicken files won't work (Intuit: download bank feed transactions in QuickBooks Desktop, updated Aug 5, 2026).
What Regions' pages don't say
- How far back a download reaches. The Web Connect steps include a date range but no limit. Intuit says some banks give only what's available on the first download, which may be 30, 60, 90 days or more (Intuit).
- QuickBooks Online. The Regions help pages we read describe QuickBooks desktop software, not a QuickBooks Online connection. In QuickBooks Online, search for Regions in the bank list (Intuit); we haven't confirmed a connection either way.
- Xero. We didn't find a Regions page about a Xero bank feed; we haven't confirmed one either way.
- Closed accounts. Not stated. Download every statement the books need before a client closes or switches accounts.
- What a user can download. The addendum says administrators set each user's scope, but doesn't list a view-only or bookkeeper role, or whether downloads and statements can be granted separately (Regions).
Which route for which months
- Going forward on QuickBooks Desktop or Quicken: Direct Connect, if the monthly fee after the 90-day trial is worth it to the client, or Web Connect downloads at no charge (Web Connect only on QuickBooks for Mac).
- Recent months: a Web Connect download, in date ranges that don't overlap anything already imported.
- Older months, Xero, or an account about to close: the PDF online statements, downloaded and saved while they're still online.
- Every month: tie the imported lines out to the statement before you reconcile (below).
QuickBooks Online
- Intuit's manual upload takes a PDF or image statement in English, or a QBO, QFX or CSV file. A list file must be 350 KB or less, with 3 columns (Date, Description, Amount) or 4 (Date, Description, Credit, Debit), up to 1,000 lines per upload (Intuit: manually upload transactions into QuickBooks Online, updated Aug 24, 2026). Intuit says the file should start at least one day before your oldest QuickBooks transaction in that account (Intuit). If a connection already brought in some of a month, see duplicate transactions after a bank upload.
- QuickBooks Desktop connects through Bank Feeds, either Direct Connect or a Web Connect (.qbo) file (Intuit). Intuit says you can't download the same transactions into a company file more than once, and once you delete downloaded transactions you can't download them again (Intuit). Back up the company file first. For months with only a PDF, see can QuickBooks Desktop import a PDF bank statement.
Xero
- Regions Bank is on Xero's US list of banks with validated PDF extraction (checked 26 Oct 2026), so high-quality results are likely, but Xero says it validates selected statement types and recommends OFX over PDF when your bank offers it. Xero's PDF import is for US and Canada organizations, not the Xero Ledger plan; files must be English, 35 MB or less, up to 100 pages, at least 200 DPI, not password protected, one file per bank account (Xero Central: import a PDF bank statement). Check every imported month against the statement.
- If you build a CSV instead, Xero needs at least Date and Amount, with money in positive and money out negative in one column, and no opening or closing balance columns (Xero Central: import a bank statement in CSV format).
- Xero treats lines matching ones already in Xero as duplicates and won't import them (Xero Central), but don't rely on that; import only the months the account doesn't already have.
More detail: how to import bank statements into Xero from a PDF and closed bank account statements into QuickBooks or Xero.
Tie out each month before you import
- Opening balance + deposits − withdrawals = closing balance on the Regions statement, to the cent.
- Chain the months: each closing balance equals the next statement's opening balance.
- Sum the file's or feed's lines for the statement period and compare them with the statement's net change. A difference usually means a missing transaction type, an overlapping download, or a date range off by a day.
- Spot-check the first and last days of the period and the largest few items against the PDF.
The full method is in check a bank statement PDF is complete before you import it. Our free tie-out checker runs in your browser and shows the row where a CSV stops balancing. Then reconcile one statement at a time, oldest first; if QuickBooks says the beginning balance is off, see beginning balance doesn't match.

Where LedgerReady fits
For Regions, Web Connect and Direct Connect cover downloads going forward, and the agreement only promises 18 months of statements online; the PDF statements are the record for older months, Xero, or an account about to close, and for any month you want tied to the bank's statement balances. If you'd rather not convert and check each month yourself, LedgerReady turns digital statement PDFs into a QBO file, a Xero CSV, a plain CSV and a tie-out sheet showing every month matches its opening and closing balance. It costs $15 per statement-month, and we aim to deliver within 12 hours. Tie-out guarantee: if the output doesn't reconcile to the statement's opening and closing balances and we can't fix it, you don't pay for that statement.
Skip the manual work
We turn statement PDFs into QBO, Xero and CSV files plus a tie-out sheet. $15 per statement-month, $149 for a 12-month catch-up. Prefer to check it yourself? Our tie-out checker runs in your browser. See how pros do catch-up.
