Bank OZK statement to QuickBooks or Xero: 18 months of eStatements online, user roles, reprints and tie-out

Bank OZK, whose disclosures page lists account terms for Arkansas, Florida, Georgia, North Carolina, Tennessee and Texas (Bank OZK: Disclosures), publishes Business Online Banking Master Terms and Conditions, a schedule of fees and a Business Online Banking help center on its website (Bank OZK: Business Online Banking Master Terms and Conditions). Here's what those documents say, and don't, about getting a business account's history into QuickBooks or Xero. This guide covers Bank OZK Business Online Banking only. Clients on Bank OZK's treasury management services, which list information reporting among their features (Bank OZK: Treasury Management), should also ask their treasury contact what reports and files they already receive.

What Bank OZK gives you

  • eStatements two business days after the cut-off. The Master Terms and Conditions say eStatements are available through Online Banking within two Business Days after the statement cut-off date, that enrolling doesn't change the cut-off date, and that what can be delivered electronically includes periodic deposit account statements with images of cancelled checks (Bank OZK: Business Online Banking Master Terms and Conditions).
  • 18 months online, seven years on file. The same section says each eStatement is available online for eighteen months from the date it's made available, that all eStatements are retained by the bank for at least seven years, and that you have the right to request a reprint of any previous statement, with the bank reserving the right to charge for reprints (Bank OZK).
  • Online banking is free with eStatements. The Business Online Banking Enrollment page says the $5 monthly fee is waived if you're enrolled in eStatements (Bank OZK: Business Online Banking Enrollment), and the Schedule of Fees lists the Business Online Banking fee without eStatement enrollment at $5.00 a month (Bank OZK: Schedule of Fees). The Business Checking page lists Online Banking, Mobile Banking, Check Image Statements and eStatements among account features, and says enrollment in Online Banking is required to receive eStatements (Bank OZK: Business Checking).
  • A new platform. The Business Online Banking Help Center gives instructions for the transition to the new Bank OZK Business Online Banking platform (Bank OZK: Business Online Banking Help Center). The first-login steps are to enter the User ID and Password used in the old system, choose an email or text delivery method for a Secure Access Code, enter the code, create a new password and accept a disclosure (Bank OZK: First Time Login with Secure Access Code). The downloadable guide adds that a security code must be entered each time you log in (Bank OZK: First Time Login with Secure Access Codes).
  • Reporting for treasury clients. The Treasury Management page lists an online banking platform with various standard and customizable reporting options, check, deposit and full account reconciliation, EDI reporting, SWIFT reporting including MT 940, and multi-bank reporting (Bank OZK: Treasury Management).

Before you start

  • Don't use the client's sign-in. The Master Terms and Conditions say the customer authorizes the bank to follow any instructions entered through Online Banking with the customer's User ID and password, that the password should be treated with the same care as cash, and that the customer agrees not to allow access to its User ID or password to any unauthorized individuals. They also make the customer responsible for security and control over all User IDs and passwords of its Users (Bank OZK: Business Online Banking Master Terms and Conditions). The access code sent at every login goes to the client's phone or email anyway.
  • Ask to be added as a Base User. The terms describe five kinds of User: Contracting Executives, who sign the agreement and appoint or remove the others; Executive Administrators; Senior Administrators, who can grant online account access to other Users; Administrators, who can grant access to service functions for specific deposit accounts, reset passwords and audit Users' activity; and Base Users, who act for the customer on a service but have no authority to add or remove Users or do other administrative tasks. Adding or removing a User takes written instructions signed by a Contracting Executive, unless the client is using the online self-administration function, and before using a service the customer furnishes an application naming the employees, agents and third-party vendors it authorizes (Bank OZK). Ask the client for a Base User limited to the accounts in scope, with no payments, transfers or wires, and to confirm it can see statements.
  • The client decides what you see. The terms say the customer is responsible for controlling access and for any limits it places on Users, that the bank isn't obligated to enforce a limit outside the controls it says it can enforce, and that a person authorized in Online Banking to view account information can do so whether or not the application authorized it (Bank OZK). They also say the bank can't stop an Administrator from passing delegated functions on to Base Users. Ask for view access only, in writing, and keep a note of what was granted.
  • Keep questions out of email. The terms say not to use email for confidential matters, never to include full account numbers or detailed account information in an email, and that the bank recommends not sending account data or other sensitive information by email. They add that the bank will never start an email asking for confidential information or passwords (Bank OZK). Have the client raise the questions below with the bank directly, not by forwarding statements or sign-ins to you.

Where Bank OZK's documents need checking

  • Reprints are allowed, but the price isn't listed. The terms say statements are retained for at least seven years, that you can request a reprint and that the bank reserves the right to charge for it (Bank OZK: Business Online Banking Master Terms and Conditions). The Schedule of Fees, revised 10/2026, has no line for statement reprints or copies; the nearest item is account balancing assistance at $20.00 an hour (Bank OZK: Schedule of Fees). Before a catch-up that reaches past 18 months, have the client ask what a reprint costs, whether it comes as a PDF or on paper, and how long it takes.
  • Paper statements and fees. The terms say withdrawing consent to eStatements is free, that eStatements stop within ten working days and paper delivery resumes (Bank OZK). The E-Communications Disclosure says certain deposit accounts may incur paper statement fees when you revoke electronic statements (Bank OZK: E-Communications Disclosure), and the Business Online Banking fee goes back to $5 a month without eStatements (Bank OZK). Don't suggest switching to paper to get older months; ask for reprints instead.
  • Two sets of browser requirements. The eStatements section of the terms names Internet Explorer or Mozilla Firefox as compatible browsers (Bank OZK), while the E-Communications Disclosure, revised 09/2025, lists Chrome, Firefox, Microsoft Edge and Safari (Bank OZK). Treat the eStatement wording as dated, and if a statement won't open, try another current browser before assuming it's missing.
  • Which version of the terms applies. The terms linked from the enrollment page have a file name dated 1.6.26 and a footer reading TM2025.12.18-v1, and the enrollment page describes signing up by filling out an application form (Bank OZK: Business Online Banking Enrollment). The terms themselves say that before using any service the customer must mail or otherwise deliver a signed copy of the agreement for the bank's review and approval, and that the bank may amend them at any time (Bank OZK). The first login on the new platform ends with accepting a disclosure (Bank OZK); the client can confirm which terms they accepted.
  • "BA12 Reporting". The Treasury Management page lists "BA12 Reporting" among information reporting services (Bank OZK: Treasury Management). That reads like the BAI2 file format, but the page doesn't say so. If the client has treasury reporting, ask what format and how many days of history it covers before you plan around it.
  • Several review clocks. The terms say to send written notice of any discrepancy within a reasonable time, not more than sixty days from the date you receive information reflecting the problem, and that after that the customer is liable for losses notice might have prevented. For eStatements, they say the time limit starts when the bank sends the email saying the eStatement is available. Image or information quality problems must be reported within forty-eight hours of the bank making the information or image available, and Mobile Deposit errors within sixty days of the statement date (Bank OZK). Plan to the shortest that applies: open each month's statement and check images soon after the email, and tie out within a few weeks.

What Bank OZK's documents don't say

  • QuickBooks, Quicken or Web Connect. None of the pages or documents we read mention them, for QuickBooks Online or Desktop.
  • Xero. Bank OZK's pages don't mention it.
  • Whether Business Online Banking can download or export transactions at all, and if so in which formats (QBO, OFX, QFX or CSV), with which columns and for what date range.
  • How many months of transaction history show on screen, as opposed to the 18 months of eStatements.
  • Whether statements from before the move to the new platform carried over, or count toward the 18 months.
  • The Business Deposit Agreement. The Master Terms incorporate it, but the Disclosures page lists only personal account terms by state (Bank OZK: Disclosures). Ask the client for their copy if a statement error window matters.
  • What a statement reprint costs and how long it takes.
  • Which permissions a Base User can be limited to, for example statements only.

Older months and fees

The Schedule of Fees lists the Business Online Banking fee without eStatement enrollment at $5.00 a month, account balancing assistance at $20.00 an hour, an undeliverable mail fee of $5.00, and a dormant checking account fee of $6.00 a month after 12 months, with exceptions noted for Texas and Georgia (Bank OZK: Schedule of Fees). With 18 months online, a calendar-year catch-up usually fits, but months older than that need a reprint, which the bank may charge for and the schedule doesn't price (Bank OZK: Business Online Banking Master Terms and Conditions). Download every eStatement in the window now, before more months roll off, and have the client price any reprints before ordering. Anything older than seven years has to come from the client's own files.

Clauses worth telling the client about

The terms say the bank may treat an Online Banking enrollment as inactive or dormant if nobody has logged in for more than 180 days, after which transactions may be declined, access may stop and the customer has to re-enroll (Bank OZK: Business Online Banking Master Terms and Conditions). If the client rarely signs in, save the statements while access works. eStatements stop if the notice email bounces for two or more months, and paper delivery resumes (Bank OZK), so a gap online may mean those months went out on paper. The terms also say information reported before final posting is subject to correction, that reports are current as of different times, and that where the bank's records differ from the customer's, the bank's records govern (Bank OZK). Tie out to the statement, not to an intraday balance. On termination, the bank's only obligation is to deliver records owned by the customer in the form and manner it keeps them, after amounts owed are paid (Bank OZK), so for an account about to close, download everything first. A monthly tie-out supports the client's own review of each statement; it doesn't replace it.

Which route for which months

  • Going forward: each month's eStatement, saved as soon as it's posted, about two business days after the cut-off. If the client finds a transaction download on screen, check each downloaded month against its statement.
  • The last 18 months: the eStatements in Online Banking, downloaded and saved now.
  • 18 months to seven years back: reprints from the bank, priced first, or the client's own saved PDFs or paper statements.
  • Anything older than seven years: the client's own paper or saved statements.

QuickBooks Online

Xero

  • Bank OZK is on Xero's US list of banks with validated PDF extraction, as "Bank Ozk" (checked 27 Oct 2026), so high-quality results are likely, but Xero says it validates selected statement types and recommends OFX over PDF when your bank offers it. Bank OZK's documents don't mention OFX, so the eStatement PDF is the likely route. Xero's PDF import is for US and Canada organizations, not the Xero Ledger plan; files must be English, 35 MB or less, up to 100 pages, at least 200 DPI, not password protected, one file per bank account (Xero Central: import a PDF bank statement). Import each account's statements separately and check every imported month against the statement.
  • If you build a CSV instead, Xero needs at least Date and Amount, with money in positive and money out negative in one column, and no opening or closing balance columns (Xero Central: import a bank statement in CSV format).
  • Xero treats lines matching ones already in Xero as duplicates and won't import them (Xero Central), but don't rely on that; import only the months the account doesn't already have.

More detail: how to import bank statements into Xero from a PDF and closed bank account statements into QuickBooks or Xero.

Tie out each month before you import

  1. Opening balance + deposits − withdrawals = closing balance on the Bank OZK statement, to the cent.
  2. Chain the months: each closing balance equals the next statement's opening balance. If a month is missing online, check whether it went out on paper or falls outside the 18 months.
  3. Sum the file's or feed's lines for the statement period and compare them with the statement's net change. A difference usually means a missing transaction type, a date range off by a day, or items that hadn't finally posted when the data was pulled.
  4. Spot-check the first and last days of the period and the largest few items against the PDF, using the check images for any check that doesn't match.

The full method is in check a bank statement PDF is complete before you import it. Our free tie-out checker runs in your browser and shows the row where a CSV stops balancing. Then reconcile one statement at a time, oldest first; if QuickBooks says the beginning balance is off, see beginning balance doesn't match.

Where LedgerReady fits

For Bank OZK, eStatements stay online for 18 months, older months need a reprint the fee schedule doesn't price, and nothing we read mentions QuickBooks, Xero or a transaction download, so the PDF statements are the record for most catch-ups, for Xero and for an account about to close. If you'd rather not convert and check each month yourself, LedgerReady turns digital statement PDFs into a QBO file, a Xero CSV, a plain CSV and a tie-out sheet showing every month matches its opening and closing balance. It costs $15 per statement-month, and we aim to deliver within 12 hours. Tie-out guarantee: if the output doesn't reconcile to the statement's opening and closing balances and we can't fix it, you don't pay for that statement.

Skip the manual work

We turn statement PDFs into QBO, Xero and CSV files plus a tie-out sheet. $15 per statement-month, $149 for a 12-month catch-up. Prefer to check it yourself? Our tie-out checker runs in your browser. See how pros do catch-up.
