Trustmark National Bank statement to QuickBooks or Xero: business history export, eStatements and tie-out
Trustmark National Bank offers business customers three levels of business online and mobile banking: myTrustmark BUSINESS, BUSINESSAdvantage and CORPORATEAdvantage. Trustmark publishes a set of short written training guides for its business platform and a 40-page online banking agreement that covers business and consumer customers. Here's what those documents say, and don't, about getting a business account's history into QuickBooks or Xero. This guide covers myTrustmark BUSINESS and BUSINESSAdvantage, the two levels Trustmark pitches to micro and small businesses, not CORPORATEAdvantage or personal online banking. Ask the client which level they have, because the export features differ.
What Trustmark gives you
- History export on both small-business levels. Trustmark's myTrustmark BUSINESS page lists "History export" and eStatements among its features (Trustmark: myTrustmark BUSINESS), and the BUSINESSAdvantage page lists "Single and multi-account history export", eStatements, basic information reporting and advanced user entitlements (Trustmark: myTrustmark BUSINESSAdvantage). Trustmark's article on business online banking says the same: account history exports on BUSINESS, single and multi-account history export on BUSINESSAdvantage (Trustmark: the advantages of online banking for your business, May 27, 2025).
- Transaction history with filters and an export. Trustmark's Account Details and Transaction History guide says you select an account tile on the Home screen, open the Transactions tab to see historical transactions in descending order, and use the Filters icon to set search criteria. It then says to select the down arrow icon in the top right corner to display a list of available report formats, and that the export includes all transactions specified in the filter (Trustmark: Account Details and Transaction History, dated 8/12/20). Pending transactions show as "Pending" in red; posted ones show the posting date.
- Reports with a date range. The Information Reporting guide says you select Reports, then +New Report, pick the accounts and a Date Range (Custom Dates allows a specific range), and choose Create and Run; once the report is generated, format icons ("PDF, etc.") appear next to it so you can download it (Trustmark: Information Reporting, 8/12/20). It notes that the reports provided depend on segment level.
- Online statements. The myTrustmark Agreement says that to see online statements you sign in and click the "Statements" link, and that the Online Statements Service gives you electronic statements or transaction histories you may view, save to your device or print (Trustmark: myTrustmark Agreement, Article VI, sections 6.2 and 6.4, Revised July 2025). It also says online statements are switched on automatically for eligible accounts when you enroll, and that paper statements then stop unless you elect to keep them (section 6.3).
Before you start
- Get your own login, not the client's. The agreement says a business must appoint an Administrator who creates Login IDs and passwords for Users and assigns and revokes their access, that Users must not share security devices with each other, and that giving your access credentials to another person effectively grants that person authority over your accounts (Trustmark: myTrustmark Agreement, sections 2.3, 2.3.2 and 2.3.3). Ask the client's Administrator to add you as a User.
- How a User is added. Trustmark's User Management guide says the Administrator selects Settings, then User Management, then Add User; the password assigned is temporary and the new user must sign in and change it within 72 hours or it expires; and the user can't sign in without an assigned User Role (Trustmark: User Management, 8/7/20).
- Ask for view access to the right accounts. The User Roles guide says each role controls feature entitlements and limits, that the Features tab enables or disables non-transactional features, and that the Accounts tab sets View, Deposit or Withdraw access per account (Trustmark: User Roles, 8/12/20). A bookkeeper usually needs View on the accounts being caught up and nothing that moves money.
- Dormant access. The agreement says that if you don't sign in for 120 consecutive days, Trustmark may deactivate access without notice, and you then have to contact Online Banking Support to reactivate it (Trustmark, section 2.1). If the client rarely signs in, download what you need while access works.
- Save statements yourself. The agreement says it's your responsibility to download and save, or print and keep, your online statements before they become unavailable (Trustmark, section 6.4).
Where Trustmark's documents need checking
- 24 months or 84 months of statements. Trustmark's eStatements page promises "24/7 access for up to 24 months of your statements" (Trustmark: eStatements). That page sits in the personal banking section. The myTrustmark Agreement, which applies to business customers too, says any online statement may be accessed for at least eighty-four (84) months after it's first posted, and that different accounts may have different accessibility periods (Trustmark, section 6.4). Plan as if only 24 months are online until you see otherwise in the client's Statements list.
- Which export formats. The training guide says the down arrow shows "a list of available report formats" without naming them (Trustmark: Account Details and Transaction History), the Information Reporting guide names only PDF (Trustmark: Information Reporting), and the agreement says you can download account information "in various formats" (Trustmark, section 3.1). None of the documents we read names CSV, QBO, QFX or OFX.
- Reports on the basic level. The myTrustmark BUSINESS page doesn't list information reporting, while the BUSINESSAdvantage page lists basic information reporting (Trustmark: myTrustmark BUSINESS; Trustmark: myTrustmark BUSINESSAdvantage). Trustmark's Business Checking page says myTrustmark BUSINESS online banking lets you perform transaction research and customize reports (Trustmark: Business Checking). On the basic level, expect the transaction history export rather than the Reports menu.
- Paper statement fee. Trustmark's Miscellaneous Service Fees list a paper statement as free, eStatement plus paper at $2.00 per account per month, and a copy of a statement at $5.00 (Trustmark: Miscellaneous Service Fees, Revised 04.20.26). The eStatements page says of paper-only statements "Fee may apply" (Trustmark: eStatements), and the agreement says you agree to pay the fee for receiving a paper statement (Trustmark, section 6.3).
- 30 days or 60 days to report an error. The agreement's Duty to Inspect section says a business has no more than sixty (60) days from the date an error is made to report it (Trustmark, section 9.4), while a later section says you can't assert a claim about a Service transaction unless you notify Trustmark in writing within thirty (30) calendar days after the statement or advice identifying it is sent or made available (section 9.8.8). Treat 30 days as the safe window and flag anything odd to the client right away.
- Guide dates. The training guides are dated August 2020. The screens may have changed since; if a button isn't where a guide says, ask the client's Administrator rather than guessing.
What Trustmark's documents don't say
- QuickBooks and Xero. We didn't find a Trustmark business page, guide or agreement that mentions QuickBooks, Quicken, Web Connect, Direct Connect or a Xero bank feed. Check what the client's QuickBooks file offers for Trustmark rather than assuming.
- How far back the transaction history goes. The Business Checking page mentions same day and historical transactions (Trustmark: Business Checking), but we didn't find a number of months for transaction history on either small-business level.
- Export columns. Nothing we read lists the columns or date format of a history export.
- Business online banking pricing. The fee schedule lists myTrustmark Online and Mobile Banking at no fee for personal accounts only (Trustmark: Miscellaneous Service Fees), and the business product grid lists Online and Mobile Banking as "Available" (Trustmark: Business Checking and Savings). Neither gives a price for the BUSINESS or BUSINESSAdvantage levels.
- Older statements. The agreement says a copy of a statement no longer online comes from the branch where the account was opened, that copy and research fees may apply, and that availability depends on Trustmark's record retention (Trustmark, section 6.4). The fee schedule lists research at $30.00 per hour and reconciliation at $20.00 per hour (Trustmark: Miscellaneous Service Fees). We didn't find how long Trustmark keeps records.
- Which roles can open statements. The User Roles guide covers features and account access but doesn't say which setting controls eStatements or the export (Trustmark: User Roles). If the Statements link or export arrow is missing for your login, ask the Administrator to check your role.
Which route for which months
- Going forward on QuickBooks Online or Desktop: whatever connection QuickBooks offers for Trustmark in the client's file, set up by the client, starting after the last month you've already imported.
- Recent months: the transaction history export, filtered to one statement period at a time, once you've seen which formats your login offers.
- Older months, Xero, or an account about to close: the PDF statements from the Statements link, downloaded and saved while they're online.
- Every month: tie the imported lines out to the statement before you reconcile (below).
QuickBooks Online
- Intuit's manual upload takes a PDF or image statement in English, or a QBO, QFX or CSV file. A list file must be 350 KB or less, with 3 columns (Date, Description, Amount) or 4 (Date, Description, Credit, Debit), up to 1,000 lines per upload (Intuit: manually upload transactions into QuickBooks Online, updated Aug 24, 2026). Intuit says the file should start at least one day before your oldest QuickBooks transaction in that account (Intuit). If a connection already brought in some of a month, upload only the dates it missed, or see duplicate transactions after a bank upload.
- To connect an account, Intuit's steps are in Intuit: connect bank and credit card accounts to QuickBooks Online. Let the client sign in for that step.
- For QuickBooks Desktop, Intuit says you can't download the same transactions into a company file more than once, and once you delete downloaded transactions you can't download them again (Intuit: download bank feed transactions in QuickBooks Desktop, updated Aug 5, 2026), and describes Web Connect as a .QBO file you download from your bank and import (Intuit: set up bank accounts for Bank Feeds in QuickBooks Desktop). Trustmark's documents don't say whether its export list includes a QBO file. Back up the company file before you change its connection or import a file. For months with only a PDF, see can QuickBooks Desktop import a PDF bank statement.
Xero
- Trustmark National Bank is on Xero's US list of banks with validated PDF extraction (checked 27 Oct 2026), so high-quality results are likely, but Xero says it validates selected statement types and recommends OFX over PDF when your bank offers it. Trustmark's documents we read don't mention OFX. Xero's PDF import is for US and Canada organizations, not the Xero Ledger plan; files must be English, 35 MB or less, up to 100 pages, at least 200 DPI, not password protected, one file per bank account (Xero Central: import a PDF bank statement). Check every imported month against the statement.
- If you build a CSV instead, Xero needs at least Date and Amount, with money in positive and money out negative in one column, and no opening or closing balance columns (Xero Central: import a bank statement in CSV format).
- Xero treats lines matching ones already in Xero as duplicates and won't import them (Xero Central), but don't rely on that; import only the months the account doesn't already have.
More detail: how to import bank statements into Xero from a PDF and closed bank account statements into QuickBooks or Xero.
Tie out each month before you import
- Opening balance + deposits − withdrawals = closing balance on the Trustmark statement, to the cent.
- Chain the months: each closing balance equals the next statement's opening balance.
- Sum the file's or feed's lines for the statement period and compare them with the statement's net change. A difference usually means a pending item caught in the export, an overlapping download, or a filter date range off by a day.
- Spot-check the first and last days of the period and the largest few items against the PDF.
The full method is in check a bank statement PDF is complete before you import it. Our free tie-out checker runs in your browser and shows the row where a CSV stops balancing. Then reconcile one statement at a time, oldest first; if QuickBooks says the beginning balance is off, see beginning balance doesn't match.

Where LedgerReady fits
For Trustmark, the business documents describe a history export and eStatements but don't name an export file type, disagree on how long statements stay online, and say nothing about QuickBooks or Xero, so PDF statements, downloaded and saved while they're online, are the record for older months, Xero and an account about to close. If you'd rather not convert and check each month yourself, LedgerReady turns digital statement PDFs into a QBO file, a Xero CSV, a plain CSV and a tie-out sheet showing every month matches its opening and closing balance. It costs $15 per statement-month, and we aim to deliver within 12 hours. Tie-out guarantee: if the output doesn't reconcile to the statement's opening and closing balances and we can't fix it, you don't pay for that statement.
Skip the manual work
We turn statement PDFs into QBO, Xero and CSV files plus a tie-out sheet. $15 per statement-month, $149 for a 12-month catch-up. Prefer to check it yourself? Our tie-out checker runs in your browser. See how pros do catch-up.
