BMO statement to QuickBooks or Xero: transaction downloads, paperless statements and tie-out
BMO Bank N.A., formerly BMO Harris, serves US small businesses through BMO Digital Banking. Its public pages cover transaction downloads for QuickBooks, Quicken and CSV, paperless statements, and a bill pay plan that syncs with QuickBooks and Xero, but most of the detail sits in its Business Digital Banking Agreement rather than in help articles. Here's what BMO documents, and what it doesn't, for getting a US business account's history into QuickBooks or Xero. This page covers BMO in the US only.
What BMO gives you
- Transaction downloads, online only. The agreement's overview chart lists "Download transactions to CSV, Quicken, QuickBooks" under features available in online banking only, not the mobile app (BMO Business Digital Banking Agreement, May 11, 2026). BMO's credit card page, in its personal section, says you can export card transactions to QuickBooks, Quicken or CSV from Account transactions (BMO: Manage your credit card, no date).
- Online statements. The same chart lists viewing online statements for deposit, credit card, mortgage and line of credit accounts, and signing up for Paperless Statements (BMO Business Digital Banking Agreement). BMO's paperless statements consent says you need software that opens PDF files to view them, and tells you to print or download your statements for your records (BMO: Paperless Statements E-Sign Consent and Disclosure, no date).
- A bill sync, not a bank feed. BMO's business FAQs say the Pay, Bill and Sync plan of Business Bill Pay syncs bills, payments and vendors both ways with QuickBooks, Xero and NetSuite (BMO: Business Banking FAQs, no date). That's payables data. It doesn't bring the account's bank transactions or statements into either ledger.
Things to know before you start
- Bookkeeper access. The agreement's definition of an Authorized User includes an officer, manager or employee of a business, and it says you agree not to give your security credentials to anyone else, including an aggregation service (BMO Business Digital Banking Agreement). Ask your client how to give you your own access rather than sharing their login. Intuit says accountants can't connect a bank account for their clients (Intuit: connect bank and credit card accounts, updated Oct 1, 2026).
- Bill Pay users are counted per plan. The FAQs say the Pay plan includes one Administrator and one Shared User, Pay and Bill includes two Shared Users, and Pay, Bill and Sync includes three, with extra users at $10 per user per month (BMO: Business Banking FAQs). Business Bill Pay is for BMO business checking in a business profile.
- Paperless means no paper copy. The agreement says that if you choose Paperless Statements, no paper copy is mailed (BMO). The consent says BMO won't send a paper copy unless you ask within a reasonable time, through Service requests then Request documents, and may charge for it (BMO). BMO's Digital Business Checking page lists $3 for paper statements, free if enrolled in paperless (BMO: Digital Business Checking, no date).
- Combined statements. The consent describes a Combined Statement as one statement showing several accounts, which can mix deposit and loan accounts (BMO). If one statement covers several accounts, split the lines by account before you import, and tie out each account separately.
- Accounts missing from the login. The agreement says to contact your banker to add other accounts to the Digital Banking profile (BMO). If an account the books need isn't there, sort that out before you plan the job.
Where BMO's pages need checking
- Two business platforms. The Business Digital Banking Agreement says it doesn't apply to services through Online Banking for Business, which is a separate service (BMO Business Digital Banking Agreement). Ask which one your client signs in to; everything on this page comes from the Digital Banking side.
- Which QuickBooks. The chart says "QuickBooks" with no file type (BMO). Intuit says QuickBooks Desktop Web Connect only works with .qbo files, and QFX and QIF Quicken files won't work (Intuit: download bank feed transactions in QuickBooks Desktop, updated Aug 5, 2026). Check what the download screen actually produces before you plan around it.
- US and Canadian pages. BMO also publishes help pages for its Canadian bank, and they turn up in searches next to the US ones. Use pages under bmo.com/en-us for a US account; history limits and steps on the Canadian pages may not apply.
What BMO's pages don't say
- Download date range. The pages we read don't say how far back a transaction download reaches for business deposit accounts.
- How far back statements go. The credit card page says Digital Banking gives 24 months of credit card eStatements (BMO), but we found no US page that says how many months of business checking statements stay online. Check how far back your client's login goes before you promise a catch-up.
- Closed accounts. Not stated. Download every statement the books need before a client closes or switches accounts.
- A QuickBooks Online or Xero bank connection. The pages we read mention only downloads and the bill sync. In QuickBooks Online, search for BMO in the bank list (Intuit); we haven't confirmed a bank feed in either ledger.
- Business user roles. Beyond the Authorized User definition and the Bill Pay Shared Users, the pages we read don't say what a bookkeeper's login can see or download.
Which route for which months
- Recent months on QuickBooks or a spreadsheet: the online banking transaction download, in date ranges that don't overlap anything already imported.
- Older months, Xero, or an account about to close: the paperless statements, downloaded as PDFs.
- Bills and vendor payments: the Pay, Bill and Sync plan, if the client pays for it, alongside, not instead of, the bank transactions.
- Every month: tie the imported lines out to the statement before you reconcile (below).
QuickBooks Online
- Intuit's manual upload takes a PDF or image statement in English, or a QBO, QFX or CSV file. A list file must be 350 KB or less, with 3 columns (Date, Description, Amount) or 4 (Date, Description, Credit, Debit), up to 1,000 lines per upload (Intuit: manually upload transactions into QuickBooks Online, updated Aug 24, 2026). Intuit says the file should start at least one day before your oldest QuickBooks transaction in that account (Intuit). If a connection already brought in some of a month, see duplicate transactions after a bank upload.
- QuickBooks Desktop connects through Bank Feeds, either Direct Connect or a Web Connect (.qbo) file (Intuit: set up bank accounts for Bank Feeds in QuickBooks Desktop, updated Aug 5, 2026). Intuit says you can't download the same transactions into a company file more than once, and once you delete downloaded transactions you can't download them again (Intuit). Back up the company file first. For months with only a PDF, see can QuickBooks Desktop import a PDF bank statement.
Xero
- BMO Harris Bank is on Xero's US list of banks with validated PDF extraction (checked 26 Oct 2026), so high-quality results are likely, but Xero says it validates selected statement types and recommends OFX over PDF when your bank offers it. Xero's PDF import is for US and Canada organizations, not the Xero Ledger plan; files must be English, 35 MB or less, up to 100 pages, at least 200 DPI, not password protected, one file per bank account (Xero Central: import a PDF bank statement). Check every imported month against the statement.
- If you build a CSV instead, Xero needs at least Date and Amount, with money in positive and money out negative in one column, and no opening or closing balance columns (Xero Central: import a bank statement in CSV format).
- Xero treats lines matching ones already in Xero as duplicates and won't import them (Xero Central), but don't rely on that; import only the months the account doesn't already have.
More detail: how to import bank statements into Xero from a PDF and closed bank account statements into QuickBooks or Xero.
Tie out each month before you import
- Opening balance + deposits − withdrawals = closing balance on the BMO statement, to the cent.
- Chain the months: each closing balance equals the next statement's opening balance.
- Sum the file's or feed's lines for the statement period and compare them with the statement's net change. A difference usually means a missing transaction type, an overlapping download, or a date range off by a day.
- Spot-check the first and last days of the period and the largest few items against the PDF.
The full method is in check a bank statement PDF is complete before you import it. Our free tie-out checker runs in your browser and shows the row where a CSV stops balancing. Then reconcile one statement at a time, oldest first; if QuickBooks says the beginning balance is off, see beginning balance doesn't match.

Where LedgerReady fits
For BMO, the transaction download covers recent months and the bill sync covers payables, not bank lines; the paperless statements are the record for older months, Xero, or an account about to close, and for any month you want tied to the bank's statement balances. If you'd rather not convert and check each month yourself, LedgerReady turns digital statement PDFs into a QBO file, a Xero CSV, a plain CSV and a tie-out sheet showing every month matches its opening and closing balance. It costs $15 per statement-month, and we aim to deliver within 12 hours. Tie-out guarantee: if the output doesn't reconcile to the statement's opening and closing balances and we can't fix it, you don't pay for that statement.
Skip the manual work
We turn statement PDFs into QBO, Xero and CSV files plus a tie-out sheet. $15 per statement-month, $149 for a 12-month catch-up. Prefer to check it yourself? Our tie-out checker runs in your browser. See how pros do catch-up.
