M&T Bank statement to QuickBooks or Xero: Direct Connect, data export, eStatements and tie-out
M&T Bank serves small businesses through M&T Online Banking for Business. Its public pages cover a paid Direct Connect link to Quicken and QuickBooks, a data export for recent transaction history, and eStatements, but most of the detail is in its Digital Services Agreement rather than in help articles. Here's what M&T documents, and what it doesn't, for getting a business account's history into QuickBooks or Xero.
What M&T gives you
- Direct Connect to Quicken and QuickBooks, for a fee. M&T's business online banking page says you can transfer information from M&T Online Banking to Quicken and QuickBooks using M&T Direct Connect (M&T: Online and Mobile Banking for Business, no date). The Direct Connect page says it costs $9.95 a month and lets you download transaction data into your Intuit software with your M&T User ID and password, then add or match it to transactions already there (M&T: Direct Connect for Quicken and QuickBooks, no date). The Digital Services Agreement's fee schedule lists the same $9.95 per month (M&T Digital Services Agreement, version 2.24, March 2026).
- A data export for recent history. The agreement says you may export account information for personal financial management software (it names Quicken) or spreadsheet software (it names Microsoft Excel) "for recent transaction history". It says the export is limited to certain accounts, isn't compatible with all software versions, and that M&T can change the file formats offered at any time without notice (M&T Digital Services Agreement, Data Export).
- eStatements for up to seven years. M&T's eStatements page says you can access up to seven years of statements in your online account and download them (M&T: eStatements, no date). The agreement says electronic documents stay available for 7 years as long as you remain enrolled in electronic delivery, and recommends printing or saving statements as they arrive (M&T Digital Services Agreement, Statements and Notices).
Things to know before you start
- Statements vanish when the account closes. The agreement says that once an account is closed, its electronic documents will not be available on the website (M&T Digital Services Agreement). If a client is closing or switching banks, download every statement the books need first.
- Bookkeeper access. For business accounts, the agreement says an Administrator sets up Authorized Users and assigns each one's account access and transaction rights; an Authorized User can't delegate further (M&T Digital Services Agreement, Administrator and Authorized Users). M&T's business page links to a demo on adding a sub-user (M&T). Ask your client to set you up as your own user without payment rights; don't share their login. Intuit says accountants can't connect a bank account for their clients (Intuit: connect bank and credit card accounts, updated Oct 1, 2026).
- Direct Connect lags a day. The agreement says account information you get through Direct Connect generally doesn't include transactions posted since the end of the prior business day (M&T Digital Services Agreement, Your Use of the Direct Connect Service). Don't tie out the current month from it.
- Unused access can be cancelled. The agreement lists not using online or mobile banking for any three-month period among the reasons M&T may cancel Digital Services (M&T Digital Services Agreement). For a catch-up job on a dormant account, check the client can still sign in.
- Combined statements. The agreement says all accounts on a combined statement must use the same delivery method (M&T). If one statement covers several accounts, split the lines by account before you import, and tie out each account separately.
- The app shows only 90 days. M&T's FAQ says the mobile app's account search covers transactions up to 90 days old (M&T: Mobile & Online Banking FAQs, no date). Use online banking on a computer for statements.
Where M&T's pages need checking
- Business vs personal pages. The business page's "Learn More" for Direct Connect goes to a personal-banking page (M&T; M&T). The agreement points businesses to a separate business Direct Connect requirements address, but when we checked on 26 Oct 2026 that address opened the same personal Direct Connect page, with no list of compatible QuickBooks versions (M&T Digital Services Agreement, Software Requirements). Confirm your client's QuickBooks version is supported before paying for it.
- Which QuickBooks. The business page says "Link to QuickBooks with Direct Connect" (M&T), but the agreement describes Direct Connect as working through compatible software "installed on your computer" (M&T). That reads as desktop software; the pages we read don't say whether QuickBooks Online is covered. In QuickBooks Online, search for M&T in the bank list (Intuit); we haven't confirmed a connection either way.
- The seven years. The eStatements page says "up to seven years" with no conditions (M&T); the agreement ties the 7 years to staying enrolled in electronic delivery and ends access when the account closes (M&T). Both pages are written for all customers; check how far back your client's business login actually goes.
What M&T's pages don't say
- Export file formats and date range. The agreement promises an export of "recent transaction history" for Quicken or a spreadsheet but names no formats and no time span (M&T). We found no current M&T page describing a QuickBooks Web Connect (.qbo) download. Intuit says QuickBooks Desktop Web Connect only works with .qbo files, and QFX and QIF Quicken files won't work (Intuit: download bank feed transactions in QuickBooks Desktop, updated Aug 5, 2026). Check what the export screen offers before you plan around it.
- How far back Direct Connect reaches. Not stated. Intuit says some banks give only what's available on the first download, which may be 30, 60, 90 days or more (Intuit).
- Xero. M&T's pages mention only Quicken, QuickBooks and spreadsheets. We didn't find a page about a Xero bank feed; we haven't confirmed one either way.
- Older statements. The pages we read don't say how to get statements older than seven years or from a closed account.
- The statement file format. The agreement says some services need software that opens PDF files (M&T), but no page we read says eStatements are PDFs outright; check you get a digital PDF, not a printout.
Which route for which months
- Going forward on QuickBooks Desktop or Quicken: Direct Connect, if the $9.95 a month is worth it to the client.
- Recent months without Direct Connect: the data export, if its formats suit, in date ranges that don't overlap anything already imported.
- Older months, Xero, or an account about to close: the eStatements, downloaded before the account closes.
- Every month: tie the imported lines out to the statement before you reconcile (below).
QuickBooks Online
- Intuit's manual upload takes a PDF or image statement in English, or a QBO, QFX or CSV file. A list file must be 350 KB or less, with 3 columns (Date, Description, Amount) or 4 (Date, Description, Credit, Debit), up to 1,000 lines per upload (Intuit: manually upload transactions into QuickBooks Online, updated Aug 24, 2026). Intuit says the file should start at least one day before your oldest QuickBooks transaction in that account (Intuit). If a connection already brought in some of a month, see duplicate transactions after a bank upload.
- QuickBooks Desktop connects through Bank Feeds, either Direct Connect or a Web Connect (.qbo) file (Intuit: set up bank accounts for Bank Feeds in QuickBooks Desktop, updated Aug 5, 2026). Intuit says you can't download the same transactions into a company file more than once, and once you delete downloaded transactions you can't download them again (Intuit). Back up the company file first. For months with only a PDF, see can QuickBooks Desktop import a PDF bank statement.
Xero
- M&T Bank is on Xero's list of banks with validated PDF extraction (checked 26 Oct 2026), so high-quality results are likely, but Xero says it validates selected statement types and recommends OFX over PDF when your bank offers it. Xero's PDF import is for US and Canada organizations, not the Xero Ledger plan; files must be English, 35 MB or less, up to 100 pages, at least 200 DPI, not password protected, one file per bank account (Xero Central: import a PDF bank statement). Check every imported month against the statement.
- If you build a CSV instead, Xero needs at least Date and Amount, with money in positive and money out negative in one column, and no opening or closing balance columns (Xero Central: import a bank statement in CSV format).
- Xero treats lines matching ones already in Xero as duplicates and won't import them (Xero Central), but don't rely on that; import only the months the account doesn't already have.
More detail: how to import bank statements into Xero from a PDF and closed bank account statements into QuickBooks or Xero.
Tie out each month before you import
- Opening balance + deposits − withdrawals = closing balance on the M&T statement, to the cent.
- Chain the months: each closing balance equals the next statement's opening balance.
- Sum the file's or feed's lines for the statement period and compare them with the statement's net change. A difference usually means a missing transaction type, an overlapping download, or a date range off by a day.
- Spot-check the first and last days of the period and the largest few items against the PDF.
The full method is in check a bank statement PDF is complete before you import it. Our free tie-out checker runs in your browser and shows the row where a CSV stops balancing. Then reconcile one statement at a time, oldest first; if QuickBooks says the beginning balance is off, see beginning balance doesn't match.

Where LedgerReady fits
For M&T, Direct Connect is a paid link for desktop software going forward and the export covers only recent history; the eStatements are the record for older months, Xero, or an account about to close, and for any month you want tied to the bank's statement balances. If you'd rather not convert and check each month yourself, LedgerReady turns digital statement PDFs into a QBO file, a Xero CSV, a plain CSV and a tie-out sheet showing every month matches its opening and closing balance. It costs $15 per statement-month, and we aim to deliver within 12 hours. Tie-out guarantee: if the output doesn't reconcile to the statement's opening and closing balances and we can't fix it, you don't pay for that statement.
Skip the manual work
We turn statement PDFs into QBO, Xero and CSV files plus a tie-out sheet. $15 per statement-month, $149 for a 12-month catch-up. Prefer to check it yourself? Our tie-out checker runs in your browser. See how pros do catch-up.
