Byline Bank statement to QuickBooks or Xero: Business Banking vs Commercial Banking, history limits and tie-out
Byline Bank moved to a new online and mobile banking platform on May 19, 2025, and since then it has four logins on its website: Personal Banking, Business Banking, Commercial Banking and Wealth Management (Byline Bank: Digital Banking Upgrade Hub FAQs). Businesses that have a company ID use the Commercial Banking login; businesses that moved to the new platform or have no company ID use Business Banking. Which login your client has decides how much history you can reach online. Here's what Byline's documents say, and don't, about getting a business account's history into QuickBooks or Xero. This guide covers Byline Bank business checking and savings accounts used through Business Banking or Commercial Banking.
What Byline Bank gives you
- Online statements on Business Banking. Byline's business online banking page says you can check balances, review transactions and access online statements in the app and online (Byline Bank: Business online and mobile banking). The business help page says paperless statements are set under the Documents tab, in Statement Delivery Preferences, where you choose electronic or paper for each account (Byline Bank: Business Digital Banking Help).
- Records and reporting on Commercial Banking. The commercial online banking page lists enhanced reporting, paperless statements, 18 months of transaction history and 4 years of check images, with optional add-ons that include ACH report download (EDI), reconciliation and a check paid file download (Byline Bank: Commercial online and mobile banking).
- A download for import into other programs. The Business Digital Banking and Treasury Management Master Services Agreement lists Reporting, Downloads and electronic copies of statements (eStatements) among the Business Online Banking functions, and says you may export account information in a number of different formats that will then be available for import into various computer programs (Byline Bank: Master Services Agreement, Rev. 4/28/2025).
- A monthly reconciliation report, if the client has the service. The same agreement says that under the Full Account Reconciliation Service the bank provides a report at the end of each statement cycle with the beginning monthly balance, credits received, checks paid, outstanding checks and ending balance, and that Business Online Banking lets you download each report (Byline Bank: Master Services Agreement).
- Monthly statements. The business deposit agreement says a monthly cycled statement is mailed or otherwise made available for checking, savings and money market accounts, and that statements may be combined automatically for accounts with the same ownership (Byline Bank: Business Deposit Account Agreement and Disclosures, Rev. 07/26).
Before you start
- Find out which login the client uses. The upgrade FAQ says 8 months of account history and up to 7 years of statements were available on the new platform (Byline Bank: Digital Banking Upgrade Hub FAQs), while the commercial page lists 18 months of transaction history (Byline Bank: Commercial online and mobile banking). Plan the catch-up around the limit that applies to the client's login.
- Don't use the client's sign-in. The Master Services Agreement says security devices must be kept confidential and made available only to the company's own users, that users must not share them with each other, and that if anyone discloses them or lets someone else use them, the company has authorized that person to act for it and is responsible for what they do (Byline Bank: Master Services Agreement).
- Ask for your own user, set up by the client. The agreement says the Corporate Administrator decides the names and authorities of Corporate Users, that the bank generally won't verify them, and that the bank isn't responsible for monitoring the access the administrator grants (Byline Bank: Master Services Agreement). Have the administrator give you view, statement and download access, and no payment or transfer rights.
- The QuickBooks Online connection is the client's job. Intuit says accountants can't connect a bank account for their clients (Intuit: connect bank and credit card accounts to QuickBooks Online). Let the client sign in for that step.
- Check the weeks around May 2025. The upgrade FAQ asked Intuit users to back up their data file and run a final transaction download by May 16, 2025, warned that transaction history might not be available after the upgrade, and asked users to review downloaded transactions afterward for anything duplicated or missed (Byline Bank: Digital Banking Upgrade Hub FAQs). If your catch-up covers that month, tie it out against the statement, not the feed.
Where Byline Bank's documents don't line up
- 8 months or 18 months. The upgrade FAQ gives 8 months of account history on the new platform (Byline Bank: Digital Banking Upgrade Hub FAQs). The commercial page gives 18 months of transaction history (Byline Bank: Commercial online and mobile banking). Neither page says whether the figure applies to Business Banking, Commercial Banking or both, or whether the 8 months has grown since the switch. Check how far back the client's own screen goes before you plan around either number.
- Web Connect: no delay, or coming soon. The upgrade FAQ says Express Web Connect would not be available until May 26, 2025, and that there was no delay for Web Connect or Direct Connect, if supported (Byline Bank: Digital Banking Upgrade Hub FAQs). The upgrade hub's list of new features for Personal Banking customers still says integration with Quicken Direct Connect and Quick Web Connect is coming soon (Byline Bank: Digital Banking Upgrade Hub). Nothing we read says which business logins offer a Web Connect file today, so ask the client to look for one in the download options.
- Conversion instructions that aren't Byline's. The FAQ's QuickBooks Online, QuickBooks Desktop and Quicken conversion instructions link to files on assets.nbtc.com, not bylinebank.com. The QuickBooks Online file we read is a generic template: it never names Byline, and says the action dates will be provided by your financial institution (QuickBooks Online Conversion Instructions, linked from the Byline Bank FAQ). Use the dates on Byline's own FAQ, and treat the file as general steps only.
- 15 days or 30 days to report errors. The business deposit agreement says the client must tell the bank in writing within 30 days if a statement didn't arrive, and that claims about an unauthorized signature, alteration or other error are lost if not reported within 30 days after the first statement showing it (Byline Bank: Business Deposit Account Agreement and Disclosures). The Master Services Agreement asks for errors on daily reports by the close of the next business day, says failing to notify the bank within 15 days of a Bank Statement relieves the bank of liability, and a few lines later refers to 30 days (Byline Bank: Master Services Agreement). It defines Bank Statement to include periodic statements and electronic reports. Treat 15 days as the working limit for anything reached through online banking.
- Paperless statements, or branch pickup. The help page offers electronic delivery for each account (Byline Bank: Business Digital Banking Help), but the deposit agreement says a customer who stops mailed statements is deemed to have agreed to pick up copies at a branch office and review them regularly (Byline Bank: Business Deposit Account Agreement and Disclosures). Either way, the review deadlines still run, so make sure someone is actually opening each statement.
What Byline Bank's documents don't say
- Xero. None of the pages or documents we read mention it.
- Which file formats the business download offers, such as .QBO, .QFX, .OFX or CSV, and which columns a CSV contains. The Master Services Agreement says only "a number of different formats".
- Whether the 7 years of statements applies to Commercial Banking, and whether statements from before May 2025 are still online there.
- Which access a view-only or statements-only user needs.
- What a statement copy, check image copy or account research costs. The business fee schedule we read has no line for any of them.
- Whether Autobooks payments land in the account as one deposit per payment or in batches, and whether card fees are taken out first (Byline Bank: Autobooks).
- Which QuickBooks connection types work today for Business Banking and for Commercial Banking.
Older months and fees
Byline's Business Product and Service Fees Schedule, effective March 1, 2026, lists Business Online Banking (single user) and BillPay as free and a Legal Notice Processing Fee of $150, and the deposit agreement says fees for services not described in it are separately disclosed and agreed (Byline Bank: Business Deposit Account Agreement and Disclosures). The schedule doesn't price statement copies or research, so have the client ask for a quote before ordering older statements. The deposit agreement also says the bank isn't required to keep original checks, or copies beyond its record retention schedule.
So save every statement and every export the client can reach now. The Master Services Agreement says it is the client's responsibility to print or download electronic communications if it wants a copy for its records (Byline Bank: Master Services Agreement). Transaction history online stops at 8 or 18 months, depending on the page you read, so for older months use the statements first.
Clauses worth telling the client about
Among the precautions it lists, the deposit agreement suggests giving different people the jobs of opening mail, reconciling bank statements and making deposits, and using someone other than the authorized signers to reconcile the account (Byline Bank: Business Deposit Account Agreement and Disclosures). An outside bookkeeper who reconciles but can't move money fits that. A monthly tie-out supports the client's own review; it doesn't replace it.
The deposit agreement also says the bank has no liability for an error unless the client gave proper notice and any legal action begins within one year after the statement was sent or made available (Byline Bank: Business Deposit Account Agreement and Disclosures). A catch-up that starts months later can't recover those windows, so tell the client, and tie out each new statement as soon as it posts. The same page lists changes to the agreement effective January 2, 2027, so check the version in force for the months you work on.
The Master Services Agreement says third-party services reached through online banking are provided by the third party under its own terms, and that Byline doesn't offer them and isn't responsible for them (Byline Bank: Master Services Agreement). If an app asks the client to connect Byline, the client should read that app's terms. The business ESIGN agreement says the bank isn't required to send paper copies of documents it provides electronically (Byline Bank: Business ESIGN Agreement, Rev. 6/8/2022); the full list of business terms is on Byline Bank: Terms and Conditions.
Which route for which months
- Going forward: each statement, saved from the Documents tab the business day after the statement date (the FAQ says there's no longer an alert when it's ready), plus a monthly download for the same statement dates if you use files rather than a feed.
- The months still online: downloads for each statement period, checked against the statements the client can open.
- Older months: the client's saved statements, or copies from the bank once the client knows the price.
QuickBooks Online
- Intuit's manual upload takes a PDF or image statement in English, or a QBO, QFX or CSV file. A list file must be 350 KB or less, with 3 columns (Date, Description, Amount) or 4 (Date, Description, Credit, Debit), up to 1,000 lines per upload (Intuit: manually upload transactions into QuickBooks Online, updated Aug 24, 2026). Intuit says the file should start at least one day before your oldest QuickBooks transaction in that account (Intuit). If a feed or an earlier file already brought in some of a period, upload only the dates it missed, or see duplicate transactions after a bank upload.
- Byline doesn't name its download formats. If the client's download offers a .QBO or .QFX file, it can go through Intuit's manual upload. If it's a CSV, check the columns against Intuit's 3 or 4 column layout first. For periods with only a statement, plan around the PDF.
- To connect an account, Intuit's steps are in Intuit: connect bank and credit card accounts to QuickBooks Online. A connection doesn't reach back past what the bank holds online, so fill the older months from statements or files.
- For QuickBooks Desktop, Intuit describes Web Connect as a .QBO file you download from your bank and import (Intuit: set up bank accounts for Bank Feeds in QuickBooks Desktop), and says you can't download the same transactions into a company file more than once, and once you delete downloaded transactions you can't download them again (Intuit: download bank feed transactions in QuickBooks Desktop, updated Aug 5, 2026). If the client reconnected after the May 2025 switch, check the first weeks after it for gaps and repeats. For periods with only a PDF, see can QuickBooks Desktop import a PDF bank statement.
Xero
- Byline Bank is on Xero's US list of banks with validated PDF extraction, as "Byline Bank" (checked 27 Oct 2026), so high-quality results are likely, but Xero says it validates selected statement types and recommends OFX over PDF when your bank offers it. Byline's documents don't say whether an OFX download exists, so for most months the statement PDF is the likely route. Xero's PDF import is for US and Canada organizations, not the Xero Ledger plan; files must be English, 35 MB or less, up to 100 pages, at least 200 DPI, not password protected, one file per bank account (Xero Central: import a PDF bank statement). A combined statement covering several accounts needs splitting so each file holds one account. Check every imported statement against the PDF.
- If you build a CSV instead, Xero needs at least Date and Amount, with money in positive and money out negative in one column, and no opening or closing balance columns (Xero Central: import a bank statement in CSV format).
- Xero treats lines matching ones already in Xero as duplicates and won't import them (Xero Central), but don't rely on that; import only the periods the account doesn't already have.
More detail: how to import bank statements into Xero from a PDF and closed bank account statements into QuickBooks or Xero.
Tie out each statement before you import
- Beginning balance + deposits − withdrawals = ending balance on the Byline Bank statement, to the cent, using the statement's own period dates. On a combined statement, do this for each account separately.
- Chain the statements: each ending balance equals the next statement's beginning balance, and each period starts the day after the last one ended. A gap or overlap usually means a missing statement.
- Sum the download's lines for the same dates and compare them with the statement's net change. A difference usually means a date range cut at month end instead of the statement end, a duplicate from an overlapping download, or an item that posted after the file was made. Watch the weeks around May 19, 2025 closely.
- Spot-check the first and last days of the period and the largest few items against the PDF, using the check images for any check that doesn't match. For an analysis account, confirm the service charge and any earnings credit on the statement.
The full method is in check a bank statement PDF is complete before you import it. Our free tie-out checker runs in your browser and shows the row where a CSV stops balancing. Then reconcile one statement at a time, oldest first; if QuickBooks says the beginning balance is off, see beginning balance doesn't match.

Where LedgerReady fits
For Byline Bank, transaction history online stops at 8 or 18 months depending on the login and the page, the download formats aren't named, statement copy prices aren't published, and Byline's documents don't mention Xero, so the PDF statements are the record for most catch-ups, for Xero and for an account about to close. If you'd rather not convert and check each statement yourself, LedgerReady turns digital statement PDFs into a QBO file, a Xero CSV, a plain CSV and a tie-out sheet showing every statement matches its opening and closing balance. It costs $15 per statement-month, and we aim to deliver within 12 hours. Tie-out guarantee: if the output doesn't reconcile to the statement's opening and closing balances and we can't fix it, you don't pay for that statement.
Skip the manual work
We turn statement PDFs into QBO, Xero and CSV files plus a tie-out sheet. $15 per statement-month, $149 for a 12-month catch-up. Prefer to check it yourself? Our tie-out checker runs in your browser. See how pros do catch-up.
