nbkc bank statement to QuickBooks or Xero: QuickBooks Online connection, PDF eStatements and tie-out
nbkc bank offers business accounts with online and mobile banking. Its help center covers the QuickBooks Online connection and where statements live, but says much less about transaction files. Here's what nbkc documents, and what it doesn't, for getting a business account's history into QuickBooks or Xero.
What nbkc gives you
- A QuickBooks Online bank connection. In QuickBooks Online: Transactions → Bank transactions → Link Account, search for "nbkc bank", and sign in on nbkc's login page to authorize. nbkc says QuickBooks then downloads transactions and typically refreshes the feed daily, and that it charges no fee to link business checking to accounting software (nbkc: connect nbkc digital banking with QuickBooks Online, updated Jan 15, 2026).
- Monthly eStatements (PDF). Log in online or in the nbkc app → Statements & Docs → choose the account and statement date → View. The first time, nbkc may ask you to confirm your device can open PDFs: Get Code opens a PDF with a code to enter. Deposit account statements are available at the end of each month; the email notice doesn't attach the statement (nbkc: where can I find my eStatements, updated Jun 30, 2026).
- A CSV export from Online Activity. Under Transfer & Payments → Online Activity, tick the transactions and select the Export icon; they download as a CSV file (nbkc: what is the activity center, updated Jan 15, 2026). See the caution below about what this screen covers.
Things to know before you start
- The connection expires every 90 days. nbkc says connections stay active for 90 days, then need reauthorizing in QuickBooks. A password change doesn't require reauthorizing; a phone number change used for sign-in codes can cause connection problems until nbkc updates it (nbkc). After a lapse, check the feed for a gap and fill it from the statement.
- Only the primary account holder can connect. nbkc says you can't connect accounts on behalf of someone else, and your own credentials are needed to set up or renew the connection (nbkc). Intuit also says accountants can't connect a bank account for their clients (Intuit: connect bank and credit card accounts, updated Oct 1, 2026). Plan for the client to do this step, and every 90-day renewal.
- Bookkeeper access. nbkc's Business Sharing adds another person as an Authorized Signer with their own login, set up when opening a new business account online; access may vary by role (nbkc: what is Business Sharing, updated Apr 15, 2026). We didn't find an nbkc page describing a view-only or bookkeeper role, so expect the client to download statements for you.
- Closing the account. nbkc says to download any statements you need before closing, since they won't be accessible once the account is closed (nbkc: how do I close my account, updated Apr 19, 2024). Get every month the books need first.
Where nbkc's pages don't agree
- Who sets up QuickBooks. The QuickBooks Online help article describes a self-serve link from inside QuickBooks (nbkc). nbkc's Mobile + Online Banking page says accounts can be linked to Quicken and QuickBooks "once enrolled by one of our team members" (nbkc: Mobile + Online Banking, no date). The help article is the newer, dated page; if Link Account doesn't find the account, ask nbkc whether enrollment is needed.
- What the CSV export covers. nbkc's Mobile + Online Banking page says you can download account history, including balances, to a spreadsheet (nbkc). But the only export steps we found are on the Activity Center page, which says the Activity Center shows recent internal transactions, with tabs for single and recurring transactions and deposited checks (nbkc). The account transaction search lets you filter by date range, type, amount and category, but that page doesn't mention exporting (nbkc: search and filter transactions, updated Mar 5, 2024). Don't assume an Online Activity CSV holds every card purchase, deposit and fee for the month; tie it out to the statement first.
- Support numbers. The QuickBooks article gives 877-777-7298 (Monday to Friday, 8 a.m. to 5 p.m. CST) for linked business account trouble; the footer of the same page and the other help pages give 866.931.0850 (nbkc).
What nbkc's help pages don't say
- Xero. nbkc's pages mention only QuickBooks and Quicken. We didn't find an nbkc page about a Xero bank feed. Search for nbkc in Xero's bank feed setup; we haven't confirmed one either way.
- QBO, QFX or OFX downloads, and QuickBooks Desktop. The pages we read describe only the QuickBooks Online connection and a CSV export. For Desktop without a download file, see can QuickBooks Desktop import a PDF bank statement.
- How far back eStatements go, and how far back the first QuickBooks download reaches. Neither is stated. For months the feed doesn't bring in, the PDF statement is what you have.
- The CSV layout. nbkc doesn't list the export's columns, date format or sign convention. Open it before importing.
Which route for which months
- Going forward on QuickBooks Online: the nbkc connection, renewed every 90 days.
- Months before the connection, gaps after a lapse, Xero, or a closed account: the PDF eStatements.
- Every month: tie the imported lines out to the statement before you reconcile (below).
QuickBooks Online
- nbkc's own advice for the feed: review what comes in, match downloaded transactions to existing records, and exclude duplicates or transactions from earlier periods (nbkc).
- Intuit's manual upload takes a PDF or image statement in English, or a QBO, QFX or CSV file. A list file must be 350 KB or less, with 3 columns (Date, Description, Amount) or 4 (Date, Description, Credit, Debit), up to 1,000 lines per upload (Intuit: manually upload transactions into QuickBooks Online, updated Aug 24, 2026). Intuit says the file should start at least one day before your oldest QuickBooks transaction in that account (Intuit). See duplicate transactions after a bank upload.
Xero
- nbkc is not on Xero's list of banks with validated PDF extraction (checked 26 Oct 2026). Xero still accepts PDFs from unlisted banks but says accuracy may vary. Xero's PDF import is for US and Canada organizations, not the Xero Ledger plan; files must be English, 35 MB or less, up to 100 pages, at least 200 DPI, not password protected, one file per bank account (Xero Central: import a PDF bank statement). Check every imported month against the statement.
- For a CSV, Xero needs at least Date and Amount, with money in positive and money out negative in one column, and no opening or closing balance columns (Xero Central: import a bank statement in CSV format). nbkc doesn't document its CSV layout, so check columns and signs first.
- Xero treats lines matching ones already in Xero as duplicates and won't import them (Xero Central), but don't rely on that; import only the months the account doesn't already have.

Tie out each month before you import
- Opening balance + deposits − withdrawals = closing balance on the nbkc statement, to the cent.
- Chain the months: each closing balance equals the next statement's opening balance.
- Sum the file's or feed's lines for the statement period and compare them with the statement's net change. A difference usually means a missing transaction type, a lapse in the connection, or a date range off by a day.
- Spot-check the first and last days of the period and the largest few items against the PDF.
The full method is in check a bank statement PDF is complete before you import it. Our free tie-out checker runs in your browser and shows the row where a CSV stops balancing. Then reconcile one statement at a time, oldest first; if QuickBooks says the beginning balance is off, see beginning balance doesn't match.

Where LedgerReady fits
For nbkc on QuickBooks Online, use the bank connection going forward; the PDF statements matter for months before it, gaps after a 90-day lapse, Xero, or a closed account. If you'd rather not convert and check each month yourself, LedgerReady turns digital statement PDFs into a QBO file, a Xero CSV, a plain CSV and a tie-out sheet showing every month matches its opening and closing balance. It costs $15 per statement-month, and we aim to deliver within 12 hours. Tie-out guarantee: if the output doesn't reconcile to the statement's opening and closing balances and we can't fix it, you don't pay for that statement.
Skip the manual work
We turn statement PDFs into QBO, Xero and CSV files plus a tie-out sheet. $15 per statement-month, $149 for a 12-month catch-up. Prefer to check it yourself? Our tie-out checker runs in your browser. See how pros do catch-up.
