PlainsCapital Bank statement to QuickBooks or Xero: Business Online Services, two years of eStatements and tie-out

PlainsCapital Bank, based in Texas, gives business clients one of two online banking tiers: Business Online Services (BOS), and BOS for Treasury, which adds Treasury Management tools on top (PlainsCapital Bank: Business Online Banking). Which tier your client has decides what you can download. Here's what PlainsCapital's documents say, and don't, about getting a business account's history into QuickBooks or Xero. This guide covers PlainsCapital Bank business checking, savings and money market accounts used through BOS or BOS for Treasury.

What PlainsCapital Bank gives you

  • Two years of eStatements in BOS. The Business Online Banking page lists viewing balances on all accounts, viewing eStatements including up to 2 years of past statements, and viewing check images among the BOS features (PlainsCapital Bank: Business Online Banking).
  • Paperless set per account. The business eStatements page says to open Business Online Banking, choose the statements and documents option from the Reports menu, open the document preferences link and select Online as the delivery preference for each account. The first change asks you to review and accept the Esign Disclosure. It also says an email notification goes out each month when a statement is ready (PlainsCapital Bank: Business eStatements).
  • Downloads in BOS for Treasury. The BOS for Treasury page lists balance reporting with current and previous day transaction details, results you can download in a number of formats including BAI, custom formats built to fit your own accounting package, and full, partial and deposit reconciliation (PlainsCapital Bank: Business Online Services). The Customized Reporting page adds BAI and BAI2 reporting, a paid check file, account and deposit reconciliation and ad hoc reports, and says the bank can do a custom build for accounting or ERP software (PlainsCapital Bank: Customized Reporting).
  • Monthly statements for checking. The Deposit Account Agreement and Services Disclosure says checking and money market statements are sent or made available monthly and savings statements quarterly, with a statement for any month that has an electronic transfer (PlainsCapital Bank: Deposit Account Agreement and Services Disclosure, effective September 1, 2026).
  • A combined statement, if the client asked for one. The eStatements page offers a single combined statement for all of a client's PlainsCapital accounts (PlainsCapital Bank: Business eStatements), and the business switch kit lists Combined Statements as a product to tick at account opening (PlainsCapital Bank: Business Switch Kit).

Before you start

  • Find out which tier the client has. The business checking comparison shows some accounts with BOS available and others with BOS for Treasury included (PlainsCapital Bank: Business checking). The download features listed above are on the BOS for Treasury page, not the BOS one.
  • Don't use the client's login. The deposit agreement says not to share banking credentials with anyone unless you're willing to give them full access to the account and its funds, and says the client indemnifies the bank for claims arising from electronic access by any person, third party provider or third party service the client has authorized, permitted or enabled through Online Banking (PlainsCapital Bank: Deposit Account Agreement and Services Disclosure). Ask for the statement PDFs and download files instead. BOS for Treasury lists multiple account control with specific access for each individual user (PlainsCapital Bank: Business Online Banking), and the help page says Business Online Banking enrollment goes through a local branch or the client's PlainsCapital representative (PlainsCapital Bank: Help).
  • Save the oldest months first. Only 2 years of past eStatements are listed in BOS (PlainsCapital Bank: Business Online Banking), so each month you wait can push one more statement off the screen.
  • Keep the login alive. The deposit agreement says the bank can end Online Banking service after 9 months or more without a login (PlainsCapital Bank: Deposit Account Agreement and Services Disclosure). For a client who stopped logging in, check access before you plan around it.

Where PlainsCapital Bank's documents don't line up

What PlainsCapital Bank's documents don't say

  • QuickBooks, Quicken or Xero. None of the pages or agreements we read mention them.
  • Which download formats basic BOS offers, if any, and what columns a CSV has. The only format named is BAI, on the BOS for Treasury page.
  • How many months of transaction history either tier shows, as distinct from the 2 years of eStatements.
  • Whether the 2 years of eStatements stay reachable after an account closes. The agreement says the bank may leave Online Banking active for a while after closure to allow access to final statements, at its sole discretion, without saying for how long.
  • What a limited or view-only business user can see.
  • The paper statement fee. The agreement says one may be charged depending on the account type, as stated in the Truth in Savings disclosure given at account opening, and we didn't find that disclosure online.
  • The Treasury Management Services Terms and Conditions themselves.

Older months and fees

The Schedule of Fees lists research at $25 per hour plus $2 per statement, with a $25 minimum, an account activity printout at $5 and a special cut-off statement at $5 (PlainsCapital Bank: Schedule of Fees, effective 9/1/26). The deposit agreement says paper copies of electronic statements can be requested by mail, fax or at a branch, points to the miscellaneous fees for research, and says that once eStatement or Online Banking access ends for an account that stays open, paper statements are made available instead (PlainsCapital Bank: Deposit Account Agreement and Services Disclosure). It also says original cancelled checks aren't returned and may be kept or destroyed under the bank's record retention policy.

So save every statement and every download the client can reach now, starting with the oldest month BOS shows. For anything older than 2 years, ask the client for saved PDFs before ordering research, and get a quote first.

Clauses worth telling the client about

The deposit agreement says statements are deemed correct unless the client notifies the bank in writing of an error within 30 calendar days of the statement being sent or made available, and of an unauthorized endorsement within 3 years. It says internet statements are made available when they're posted to Online Banking, mailed statements within 3 business days of mailing, and that statements are also deemed available at the branches as of the date they're prepared (PlainsCapital Bank: Deposit Account Agreement and Services Disclosure). Requesting copies doesn't extend those windows. A catch-up that starts months later can't recover them, so tell the client, and tie out each new statement as soon as it posts.

The same agreement says a business customer is expected to have a reasonable process with a separation of duties among employees or agents to inspect statements regularly, that the bank may deny a claim for forged or unauthorized checks if that process isn't in place, and that the client is responsible for reviewing the work of its employees, agents and accountants. It also says any legal action against the bank must generally be brought within 2 years of the bank's act or omission (PlainsCapital Bank: Deposit Account Agreement and Services Disclosure). An outside bookkeeper who reconciles but can't move money fits that. A monthly tie-out supports the client's own review; it doesn't replace it.

If notification emails bounce twice, the agreement says the bank stops sending them, while the eStatements stay available in Online Banking (PlainsCapital Bank: Deposit Account Agreement and Services Disclosure). A client who says no statements arrived may just have a stale email on file.

Which route for which months

  • Going forward: each eStatement, saved as soon as it posts, plus a download for the same statement dates if the client has BOS for Treasury and you use files rather than a feed.
  • The last 2 years: the eStatements in BOS, with any BOS for Treasury download checked against them.
  • Older months: the client's saved statements, or copies from the bank once the client knows the research price.

QuickBooks Online

Xero

  • PlainsCapital Bank is on Xero's US list of banks with validated PDF extraction, as "PlainsCapital Bank" (checked 27 Oct 2026), so high-quality results are likely, but Xero says it validates selected statement types and recommends OFX over PDF when your bank offers it. PlainsCapital's documents don't mention an OFX download, so for most months the statement PDF is the likely route. Xero's PDF import is for US and Canada organizations, not the Xero Ledger plan; files must be English, 35 MB or less, up to 100 pages, at least 200 DPI, not password protected, one file per bank account (Xero Central: import a PDF bank statement). A combined statement covering several accounts needs splitting so each file holds one account. Check every imported statement against the PDF.
  • If you build a CSV instead, Xero needs at least Date and Amount, with money in positive and money out negative in one column, and no opening or closing balance columns (Xero Central: import a bank statement in CSV format).
  • Xero treats lines matching ones already in Xero as duplicates and won't import them (Xero Central), but don't rely on that; import only the periods the account doesn't already have.

More detail: how to import bank statements into Xero from a PDF and closed bank account statements into QuickBooks or Xero.

Tie out each statement before you import

  1. Beginning balance + deposits − withdrawals = ending balance on the PlainsCapital Bank statement, to the cent, using the statement's own period dates. On a combined statement, do this for each account separately.
  2. Chain the statements: each ending balance equals the next statement's beginning balance, and each period starts the day after the last one ended. A gap or overlap usually means a missing statement, or a quarterly savings cycle.
  3. Sum the download's lines for the same dates and compare them with the statement's net change. A difference usually means a date range cut at month end instead of the statement end, a duplicate from an overlapping download, or an item that posted after the file was made.
  4. Spot-check the first and last days of the period and the largest few items against the PDF, using the check images for any check that doesn't match. For an account with an earnings credit, confirm the service charge on the statement.

The full method is in check a bank statement PDF is complete before you import it. Our free tie-out checker runs in your browser and shows the row where a CSV stops balancing. Then reconcile one statement at a time, oldest first; if QuickBooks says the beginning balance is off, see beginning balance doesn't match.

Where LedgerReady fits

For PlainsCapital Bank, eStatements online stop at 2 years, basic BOS names no download format, the Treasury Management terms aren't published, and PlainsCapital's documents don't mention QuickBooks or Xero, so the PDF statements are the record for most catch-ups, for Xero and for an account about to close. If you'd rather not convert and check each statement yourself, LedgerReady turns digital statement PDFs into a QBO file, a Xero CSV, a plain CSV and a tie-out sheet showing every statement matches its opening and closing balance. It costs $15 per statement-month, and we aim to deliver within 12 hours. Tie-out guarantee: if the output doesn't reconcile to the statement's opening and closing balances and we can't fix it, you don't pay for that statement.

Skip the manual work

We turn statement PDFs into QBO, Xero and CSV files plus a tie-out sheet. $15 per statement-month, $149 for a 12-month catch-up. Prefer to check it yourself? Our tie-out checker runs in your browser. See how pros do catch-up.
