Prosperity Bank statement to QuickBooks or Xero: WebConnect downloads, eStatements and tie-out

Prosperity Bank's Business Online Banking lists statement retrieval and transaction downloads among its features. Prosperity's written help is an online banking FAQ, an eStatements page and FAQ, and the conversion guides it posted for customers of banks it acquired. Here's what those documents say, and don't, about getting a business account's history into QuickBooks or Xero. This guide covers Prosperity Online Banking and Business Online Banking at prosperitybankusa.com only, not Prosperity's Treasury Center platform for treasury management customers. If the client banked with Texas Partners Bank, read the conversion section first: Prosperity's dates for it fall in early November 2026.

What Prosperity gives you

  • Downloads for QuickBooks and Quicken. Prosperity's Online Banking FAQs say that, once you're signed in, you go to the "Accounts" drop-down and select the "WebConnect" option, enter a date range for the transactions you want, and select the correct financial software option; downloads are available for Quicken and QuickBooks (Prosperity: Online Banking FAQs). The FAQs say the file doesn't update QuickBooks or Quicken automatically: you save it, then import it from inside the software.
  • A CSV of account history. The same FAQ says you can also go to the "Accounts" drop-down, select "Account Activity", and under the "Account History" section select "Download for Spreadsheet" for a .CSV version of your online banking history (Prosperity: Online Banking FAQs).
  • eStatements for two years. Prosperity's eStatements page says to sign in, select Accounts from the top navigation, then Statements/Notices to enroll, and that eStatements give you access to up to two years of your most recent statements, which you can view, print and save (Prosperity: eStatements). The eStatements FAQ says eStatements carry the same monthly account history as the paper statement, that check images may be included depending on the account type, and that eStatements remain accessible through Online Banking for up to two years (Prosperity: eStatements FAQ).
  • Online banking included with business checking. Prosperity's business checking comparison lists Online Banking as free on all four business checking accounts (Prosperity: compare business checking accounts), and the Small Business Checking page lists free online banking and imaged check statements (Prosperity: Small Business Checking).

Before you start

  • Ask for your own access. Prosperity's October 2026 letter to Texas Partners Bank customers describes Sub-Users: a way to give Online Banking access to additional users "such as a CPA, bookkeeper, or other trusted individual", with the primary user deciding account access, transaction limits and certain user rights (Prosperity: Texas Partners Bank online banking letter, October 15, 2026). Ask the client to set you up as a Sub-User with access only to the accounts you're catching up, rather than handing you their sign-in.
  • Prosperity doesn't support the software side. The FAQs say Prosperity can help create the download file in Online Banking but doesn't support QuickBooks, Quicken or other money management programs; questions about importing go to that software's support (Prosperity: Online Banking FAQs).
  • Save statements as you go. With two years online, anything older has to come from saved copies. The eStatements FAQ says you can download eStatements to your computer or network for archiving (Prosperity: eStatements FAQ).
  • Enrolling stops paper. The eStatements FAQ says that when you enroll in eStatements you stop paper statement delivery (Prosperity: eStatements FAQ). If the client's paper statements are your only record of older months, keep them.

Clients coming from Texas Partners Bank

Prosperity's letter says Texas Partners Bank merged with Prosperity on February 1, 2026, and that its online banking moves to Prosperity's system with an operational integration scheduled for November 9, 2026 (Prosperity: Texas Partners Bank online banking letter; Prosperity: Retail Online Banking - Texas Partners Bank). For a bookkeeper, the parts that matter:

  • Save history before Friday, November 6. The letter encourages customers to save or print history, statements and other account information before 4:00 p.m. on Friday, November 6, when the final update of Texas Partners Bank transaction data happens. It says that, other than eStatements, Texas Partners Bank transaction history won't transfer, and that account history in Prosperity Online Banking begins on November 9.
  • Statements if not on eStatements. The letter says that if an account isn't enrolled in eStatements, the statement view will no longer be available online, and suggests downloading and saving statements before November 6.
  • The final statement comes by mail. The letter says the final Texas Partners Bank statement, dated November 6, 2026, will be mailed to all customers, including those enrolled in eStatements, and won't be available electronically after the integration. Ask the client to keep that paper statement for you; it's the one that closes out the old account's month.
  • Migrated eStatements fill in over weeks. For accounts already on eStatements, the letter says they migrate and that the eStatement history will build over the next few weeks until up to 2 years of history is available. If months look missing right after November 9, that may be why.
  • QuickBooks Online. Prosperity's QuickBooks Online conversion guide says to complete a final transaction download and accept all new transactions on or before November 6, disconnect the Texas Partners Bank connection on or after November 9 (Banking, the account's pencil icon, Edit Account Info, Disconnect this Account on Save), and, for Express Web Connect, reconnect on or after November 16 by choosing Add Account, typing Prosperity Bank and choosing "Prosperity Bank Web" (Prosperity: QuickBooks Online Conversion Instructions). It says Express Web Connect won't be available until 5 business days after November 6, and that Express Web Connect uses the same credentials as online banking. It tells you to match each bank account to the existing QuickBooks account, not "+Add New", and to exclude duplicate transactions afterwards. For Web Connect, it says to download a .qbo or .qfx file from online banking and use File Upload on the Banking page.
  • QuickBooks Desktop. The QuickBooks Desktop conversion guide says to back up the company file and update QuickBooks before November 6, deactivate online services for the old accounts on or after November 9, then download transactions from Prosperity Online Banking to a QuickBooks (.qbo) file and import it with File, Utilities, Import, Web Connect Files on Windows, choosing "Use an existing QuickBooks account" (Prosperity: QuickBooks Desktop Conversion Instructions). It warns that duplicate transactions can occur if the new download overlaps the dates of your last successful one.

Prosperity posted near-identical guides for American Bank customers with September 2026 dates. If a client came from another acquired bank, use the dates on that bank's own Prosperity welcome page.

Where Prosperity's documents need checking

  • An .IIF file or a .qbo file. The Online Banking FAQs say Prosperity Online Banking can create "the required .IIF file to import into QuickBooks" through the WebConnect option, and a .QIF file for Quicken (Prosperity: Online Banking FAQs). Prosperity's October 2026 conversion guides say to download a QuickBooks (.qbo) file, or for QuickBooks Online a .qbo or .qfx file, and import it as a Web Connect file (Prosperity: QuickBooks Desktop Conversion Instructions; QuickBooks Online Conversion Instructions). Intuit's manual upload for QuickBooks Online lists QBO, QFX and CSV, not IIF (Intuit: manually upload transactions into QuickBooks Online). Go by the file type the WebConnect screen actually offers, and prefer .qbo when it's there.
  • Where to enroll in eStatements. The eStatements page and the conversion letter say to enroll through Accounts, then Statements/Notices (Prosperity: eStatements; Prosperity: letter), while the eStatements FAQ says to click eDelivery under the Accounts tab (Prosperity: eStatements FAQ). Look for either label.
  • How current the FAQ is. The Online Banking FAQs still discuss 128-bit browser encryption, Internet Explorer and opening CSV files in Lotus (Prosperity: Online Banking FAQs), while Prosperity describes its Business Online Banking as "newly enhanced" (Prosperity: Business Online Banking). The menu names in the FAQ may be older than the screens; if "WebConnect" isn't under Accounts, ask the client where downloads sit now.
  • Sub-Users for business logins. The Sub-Users description comes from a letter on Prosperity's retail online banking pages for Texas Partners Bank (Prosperity: letter). The Business Online Banking page mentions only "increased user control options" (Prosperity: Business Online Banking). We didn't find a written Prosperity guide to adding a user on a business login.
  • How long a business has to report an error. Prosperity's Mobile Banking Services Agreement says that for business accounts you agree to notify the bank immediately of errors, provide notice within a reasonable time not to exceed fourteen (14) calendar days from discovery or receipt of the first statement showing the problem, that after sixty (60) days the bank owes no interest on the amount, and that after one (1) year you're precluded from asserting the discrepancy (Prosperity: Mobile Banking Services Agreement, Business Accounts section; file dated 3-2-21). A catch-up months later can't count on the short window, so flag anything odd to the client the day you find it.

What Prosperity's documents don't say

  • The online banking agreement and business fees. Prosperity's Forms and Disclosures page lists an Online Banking Agreement and Disclosure and a Business Schedule of Fees, but when we read it those entries had no working link (Prosperity: Forms and Disclosures). So we haven't read Prosperity's terms on sharing credentials with a bookkeeper or an aggregator, or its fee for a statement copy.
  • How far back downloads go. The FAQs say the CSV covers "available transactions" and your online banking history, without a number of months.
  • Export columns. Nothing we read lists the columns or date format of the CSV.
  • Statements older than two years. We didn't find how to request them or what they cost.
  • Xero. We didn't find a Prosperity page about a Xero bank feed; we haven't confirmed one either way.

Which route for which months

  • Going forward on QuickBooks Online: the Express Web Connect connection Prosperity's guide describes ("Prosperity Bank Web"), set up by the client, starting after the last month you've already imported.
  • Recent months: the WebConnect download in whatever QuickBooks format the screen offers, or the Account History CSV, one statement period at a time.
  • Older months, Xero, an account about to close, or a Texas Partners Bank account before November 9: the PDF statements, downloaded and saved while they're online, plus the mailed final statement.
  • Every month: tie the imported lines out to the statement before you reconcile (below).

QuickBooks Online

Xero

  • Prosperity Bank is on Xero's US list of banks with validated PDF extraction (checked 27 Oct 2026), so high-quality results are likely, but Xero says it validates selected statement types and recommends OFX over PDF when your bank offers it. Prosperity's documents we read don't mention OFX. Xero's PDF import is for US and Canada organizations, not the Xero Ledger plan; files must be English, 35 MB or less, up to 100 pages, at least 200 DPI, not password protected, one file per bank account (Xero Central: import a PDF bank statement). Check every imported month against the statement.
  • If you build a CSV instead, Xero needs at least Date and Amount, with money in positive and money out negative in one column, and no opening or closing balance columns (Xero Central: import a bank statement in CSV format). Prosperity doesn't document its CSV columns, so open the file and map them yourself.
  • Xero treats lines matching ones already in Xero as duplicates and won't import them (Xero Central), but don't rely on that; import only the months the account doesn't already have.

More detail: how to import bank statements into Xero from a PDF and closed bank account statements into QuickBooks or Xero.

Tie out each month before you import

  1. Opening balance + deposits − withdrawals = closing balance on the Prosperity statement, to the cent.
  2. Chain the months: each closing balance equals the next statement's opening balance. For a Texas Partners Bank account, the mailed November 6 statement's closing balance should match where the Prosperity history picks up.
  3. Sum the file's or feed's lines for the statement period and compare them with the statement's net change. A difference usually means a missing transaction type, an overlapping download, or a date range off by a day.
  4. Spot-check the first and last days of the period and the largest few items against the PDF.

The full method is in check a bank statement PDF is complete before you import it. Our free tie-out checker runs in your browser and shows the row where a CSV stops balancing. Then reconcile one statement at a time, oldest first; if QuickBooks says the beginning balance is off, see beginning balance doesn't match.

Where LedgerReady fits

For Prosperity, eStatements stay online for up to two years, the FAQ and the newer conversion guides disagree on the QuickBooks file type, and Texas Partners Bank history other than eStatements doesn't carry over, so PDF statements, downloaded and saved while they're online, are the record for older months, Xero and an account about to close. If you'd rather not convert and check each month yourself, LedgerReady turns digital statement PDFs into a QBO file, a Xero CSV, a plain CSV and a tie-out sheet showing every month matches its opening and closing balance. It costs $15 per statement-month, and we aim to deliver within 12 hours. Tie-out guarantee: if the output doesn't reconcile to the statement's opening and closing balances and we can't fix it, you don't pay for that statement.

Skip the manual work

We turn statement PDFs into QBO, Xero and CSV files plus a tie-out sheet. $15 per statement-month, $149 for a 12-month catch-up. Prefer to check it yourself? Our tie-out checker runs in your browser. See how pros do catch-up.
