Seacoast National Bank statement to QuickBooks or Xero: Web Connect guides, seven years of PDF statements and tie-out

Seacoast National Bank, shown as Seacoast Bank on its website, publishes QuickBooks conversion guides, an online banking agreement, a deposit account agreement, a treasury management master agreement and a business fee schedule on its website (Seacoast Bank: Agreements and Disclosures). Here's what those documents say, and don't, about getting a business account's history into QuickBooks or Xero. This guide covers Seacoast's Business Online Banking and treasury services at seacoastbank.com only.

What Seacoast Bank gives you

Before you start

  • Don't use the client's sign-in. The Online Banking Agreement says you agree not to give or make available your User ID or Password to any unauthorized individuals, and that if you disclose them to any other person you are responsible for any transactions they authorize, which are deemed authorized by you (Seacoast Bank: Online Banking Agreement).
  • Ask for inquiry access instead. The Treasury Management Services Master Agreement says the client appoints an Administrator who creates Authorized Users and sets their access, that transactional access lets a user transfer funds, perform account maintenance and view transactions, and that inquiry access allows an Authorized User to view Account transactions (Seacoast Bank: Treasury Management Services Master Agreement). Ask the client's Administrator for a user with inquiry access only, no Bill Pay, and to confirm in writing that it includes statements.
  • Keep questions out of email. The Online Banking Agreement lists sending a secure message through the service as a way to reach the bank and says email is not a secure method of communication and that the bank cannot act on instructions sent from an external email address (Seacoast Bank: Online Banking Agreement). Have the client ask the questions below through a secure message, not by forwarding statements or sign-ins to you.

Where Seacoast's documents need checking

  • The QuickBooks guides are conversion-era. Both guides open by saying your current financial institution is completing its system conversion to Seacoast Bank, describe the update as time sensitive, and refer to QuickBooks 2014 and newer (Seacoast Bank). The PDF files carry a 2016 creation date. They're the only QuickBooks steps on the page, so confirm with Seacoast that Web Connect download is still offered for the client's account before you plan around it.
  • Downloads aren't the record. The treasury master agreement says Seacoast may, in its sole discretion, offer downloads into Quicken or QuickBooks from certain accounts, that not all account information can be downloaded, that downloaded information may not include all account activity, and that statements are the official record while downloaded information is for tracking purposes only (Seacoast Bank: Treasury Management Services Master Agreement). Check every downloaded month against the PDF statement.
  • Three different review windows. The Deposit Account Agreement says you must report unauthorized signatures and alterations within a total of 30 days from when the statement is first sent or made available, and other errors within 60 days (Seacoast Bank: Deposit Account Agreement, effective January 1, 2026). The Online Banking Agreement asks you to report any discrepancies, including missing deposits, within 30 days of your statement date (Seacoast Bank: Online Banking Agreement). The treasury master agreement asks you to review records daily by the close of the next Business Day and report errors within 30 days from the date the error is made, which can fall before the statement arrives (Seacoast Bank: Treasury Management Services Master Agreement). Plan to the shortest one that applies.

What Seacoast's documents don't say

  • Whether QuickBooks Online connects to Seacoast directly, or through which connection type. None of the pages we read mention QuickBooks Online.
  • Xero. Seacoast's pages don't mention it.
  • Which file types the online banking download offers (QBO, QFX, OFX or CSV), and how many months of transaction history it covers.
  • Whether the up to seven years of PDF statements applies to months from before the client enrolled in eStatements, or to accounts converted from another bank.

Older months and fees

The business fee schedule lists a statement copy at $10.00, research at $30.00 per hour with a one hour minimum, an interim statement at $2.00 and a paper statement fee of $3.00 (Seacoast Bank: Business Account Fees and Service Charges). Business Online Banking for up to 10 accounts is listed at no cost. With up to seven years online, most catch-ups won't need copies, but for a month that isn't on screen, have the client ask what a copy costs and how long it takes before ordering.

Clauses worth telling the client about

The Online Banking Agreement says five unsuccessful log-on attempts deactivate the service, and that Seacoast may terminate participation for inactivity or not logging on for 90 days or longer without advance notice (Seacoast Bank: Online Banking Agreement). For a catch-up on a quiet account, ask the client to sign in before you plan anything. It also says you must promptly review your e-statements, that letting someone else access them doesn't change your responsibility to review them, and that you agree to log on at least once a month to review your statements. Seacoast's commercial FAQ tells businesses to regularly reconcile bank statements with their records (Seacoast Bank: Commercial Banking FAQ). A monthly tie-out supports that; it doesn't replace it.

Which route for which months

  • Going forward: whatever connection Seacoast confirms for the client's QuickBooks edition, starting after the last month you've imported.
  • Recent months: a Web Connect or other download, if offered, one statement period at a time, checked against the statement.
  • Treasury clients: BAI or reconcilement files, if the client already pays for them, checked against the statement.
  • Every month still online, Xero, or an account about to close: the PDF statements, downloaded and saved now.
  • Anything older: the client's paper statements, or copies from the bank, priced first.

QuickBooks Online

Xero

  • Seacoast National Bank is on Xero's US list of banks with validated PDF extraction (checked 27 Oct 2026), so high-quality results are likely, but Xero says it validates selected statement types and recommends OFX over PDF when your bank offers it. Seacoast's documents don't name an OFX download. Xero's PDF import is for US and Canada organizations, not the Xero Ledger plan; files must be English, 35 MB or less, up to 100 pages, at least 200 DPI, not password protected, one file per bank account (Xero Central: import a PDF bank statement). Import each account's statements separately and check every imported month against the statement.
  • If you build a CSV instead, Xero needs at least Date and Amount, with money in positive and money out negative in one column, and no opening or closing balance columns (Xero Central: import a bank statement in CSV format).
  • Xero treats lines matching ones already in Xero as duplicates and won't import them (Xero Central), but don't rely on that; import only the months the account doesn't already have.

More detail: how to import bank statements into Xero from a PDF and closed bank account statements into QuickBooks or Xero.

Tie out each month before you import

  1. Opening balance + deposits − withdrawals = closing balance on the Seacoast statement, to the cent.
  2. Chain the months: each closing balance equals the next statement's opening balance.
  3. Sum the file's or feed's lines for the statement period and compare them with the statement's net change. A difference usually means a missing transaction type, a download date range off by a day, or an item the download left out.
  4. Spot-check the first and last days of the period and the largest few items against the PDF, using the check images for any check that doesn't match.

The full method is in check a bank statement PDF is complete before you import it. Our free tie-out checker runs in your browser and shows the row where a CSV stops balancing. Then reconcile one statement at a time, oldest first; if QuickBooks says the beginning balance is off, see beginning balance doesn't match.

Where LedgerReady fits

For Seacoast, the only QuickBooks steps are conversion-era Web Connect guides, the treasury agreement says downloads are for tracking only and may not include all activity, and nothing we read mentions QuickBooks Online or Xero, so the PDF statements, which Seacoast calls the legal statement of record, are the record for older months, Xero and an account about to close. If you'd rather not convert and check each month yourself, LedgerReady turns digital statement PDFs into a QBO file, a Xero CSV, a plain CSV and a tie-out sheet showing every month matches its opening and closing balance. It costs $15 per statement-month, and we aim to deliver within 12 hours. Tie-out guarantee: if the output doesn't reconcile to the statement's opening and closing balances and we can't fix it, you don't pay for that statement.

Skip the manual work

We turn statement PDFs into QBO, Xero and CSV files plus a tie-out sheet. $15 per statement-month, $149 for a 12-month catch-up. Prefer to check it yourself? Our tie-out checker runs in your browser. See how pros do catch-up.
