Renasant Bank statement to QuickBooks or Xero: e-Statements, the 18-month archive and tie-out

Renasant Bank gives business clients two versions of its online platform: Business Internet Banking, which Renasant calls the ideal solution for smaller businesses, and Enhanced Business Internet Banking for larger companies. Both carry e-Statements. Here's what Renasant's written pages, its Master Treasury Management Agreement and its Deposit Account Agreement say, and don't, about getting a business account's history into QuickBooks or Xero. This guide covers Business Internet Banking and Enhanced Business Internet Banking at renasantbank.com only.

What Renasant gives you

  • e-Statements for up to 18 months. Renasant's Business Internet Banking e-Statements page says that once enrolled, e-Statements and check images will be available for up to 18 months, archived "starting from your enrollment date", and that you can print, download or save them at no charge (Renasant: Business Internet Banking e-Statements). Its FAQ says an e-Statement has the same information in the same format as the paper statement and also includes images of all posted checks and deposit tickets.
  • Several statements in one zip file. The same FAQ says you can download the latest statement for a single account, or select multiple statements at one time to download into a single zip file, by ticking the statements you want in Statements and Documents, then Document Selection (Renasant: Business Internet Banking e-Statements).
  • Older statement search. To find a statement from a previous period, the FAQ says to go to Statements and Documents, under View select Most recent documents for an account type or Documents for a specific account, select Document Type and Continue, then click Search for older or specific documents, select the Document Cycle Date and click Search (Renasant).
  • Transaction history export. The Master Treasury Management Agreement lists the Basic Services included with every Business Internet Banking enrollment as transaction summary account balances, history review, transaction history export, account-to-account transfers, stop payments and the delivery of some bank reports and notices such as statements (Renasant: Master Treasury Management Agreement, Section Six, 6.1). The Enhanced Internet Banking page lists extended transaction history with imaging and "Data Import and export capability" for Enhanced Business Internet Banking (Renasant: Enhanced Internet Banking).
  • BAI reports for larger clients. The agreement's Special Reporting section offers a daily BAI report or database, delivered through Enhanced Business Internet Banking or by FTP, available for each bank business day (Renasant: Master Treasury Management Agreement, Section Thirteen). That's a treasury feed, not a statement; ask the client whether they already have it.

Before you start

  • Find out which platform the client uses. Renasant's Business Checking Comparison lists Basic Internet Banking among its business checking features and Enhanced Business Internet Banking under Treasury Solutions (Renasant: Business Checking Comparison). Ask which one the client signs in to, because the export and history features differ.
  • Ask for your own user, not the client's sign-in. The agreement says the client appoints an Administrator who creates and maintains Security Credentials for Users, assigns and revokes their access, and can control Service access and limits; it also says Users shall not share Security Devices with each other or with any third parties, and that giving the credentials to another person effectively grants authority to access or transact business on the accounts (Renasant: Master Treasury Management Agreement, Part II, Security Credential/Security Procedures). Ask the client's Administrator to set you up as a User with access only to the accounts and functions you need, such as statements and history, and not payments.
  • Check e-Statements are turned on for each account. The FAQ says the Company Administrator enrolls accounts by going to Reports, then Statements and Documents, then View and Maintain Document Preferences, selecting a Delivery Preference for each entitled account, clicking Continue, accepting the Service Agreement with I Agree, and clicking Save Preferences (Renasant: Business Internet Banking e-Statements). The choices are Paper, Online and Paper, or Online; the first two carry a $3.00 monthly fee per account, and all entitled users get an email when a statement is ready.

The 18-month window starts at enrollment

This is the part to plan a catch-up around. Renasant says e-Statements are archived for 18 months "starting from your enrollment date", and its answer to which statement months you can view after enrolling is that you begin receiving e-Statements once enrolled, starting with the next statement cycle (Renasant: Business Internet Banking e-Statements). Read together, a client who enrolled recently shouldn't expect earlier months to appear, and a client enrolled for years should expect about the last 18 months. The Deposit Account Agreement adds that e-Statements "do not remain available within Online Banking indefinitely" and that you agree to download your e-Statement and save it or print a copy for your records (Renasant: Deposit Account Agreement, section 36, Electronic Delivery of Statements). Download every month you need in one sitting, using the zip option, and keep the files with the client's records.

Where Renasant's documents need checking

  • 30 days or 60 days. The Deposit Account Agreement says the time to examine a statement and report "will not, in any circumstance, exceed a total of thirty (30) days" from when it's mailed or first made available, and separately that unauthorized signatures, alterations, forgeries or errors not reported within sixty (60) days of when the statement is made available can't be claimed at all (Renasant: Deposit Account Agreement, section 35, Statements; Duty to Examine). It also says you agree to monitor the account's transactions each Business Day and tell the bank before 1:00 p.m. Central time if any unauthorized electronic item has been debited. A catch-up months later is well past both windows, so flag anything odd to the client the day you find it.
  • Which export, in what format. The agreement lists transaction history export for every Business Internet Banking user, and the Enhanced Internet Banking page lists data import and export (Renasant; Renasant), but neither names a file type. Renasant's Digital Banking Agreement says its Online Banking can download account information "in various formats for use with certain financial software programs and/or spreadsheets" and that the bank isn't responsible for the accuracy of the data or its integration with financial software (Renasant: Digital Banking Agreement, 3.1). Go by what the export screen actually offers.
  • Mobile access. The Business Mobile Banking page says the business app is available to users of Enhanced Business Internet Banking (Renasant: Business Mobile Banking), while the agreement says enrollment in Business Internet Banking includes access to the Mobile Banking Service (Renasant, Section Seven). It doesn't change the bookkeeping, but use a desktop browser for downloads either way.

What Renasant's documents don't say

  • QuickBooks or Quicken files. Nothing we read names a QBO, QFX, Web Connect, OFX or CSV download, or gives steps for QuickBooks. We didn't find a Renasant page about connecting to QuickBooks or Quicken.
  • How far back history goes. The Enhanced Internet Banking page says "extended transaction history" but doesn't give a number of months (Renasant), and nothing we read says how far back a Business Internet Banking export reaches.
  • Export columns. We didn't find the columns or date format of any Renasant export.
  • Treasury fees. The Schedule of Fees page says the current schedule for Treasury Solution Services is available from the Treasury Solutions Department rather than online (Renasant: Schedule of Fees).
  • Xero. We didn't find a Renasant page about a Xero bank feed; we haven't confirmed one either way.

Older statements and what they cost

Renasant's Common Fee Schedule (dated 8/14/2025) lists an Account Activity Printout or Statement Reprint fee of $6.00 per statement, and an Account Research Fee of $30.00 per hour plus $1.00 per page copy charge or $50.00 per flash drive for electronic copies, with a $5.00 minimum (Renasant: Common Fee Schedule). The Deposit Account Agreement says that after e-Statements are cancelled, a copy of a statement that was delivered electronically is available on request for the bank's research and copying fees (Renasant: Deposit Account Agreement). For anything older than the 18-month archive, price out reprints before the client orders them. The document list is on Renasant's Online Account Documents page.

Clauses worth telling the client about

The Deposit Account Agreement says that if a business is offered fraud detection or prevention services such as positive pay and refuses to use them, it is precluded from claiming that a transaction the service could have caught is unauthorized (Renasant: Deposit Account Agreement). The Master Treasury Management Agreement says the bank has no responsibility to detect errors the customer makes using the Services, and that an Administrator who is also a User should keep separate credentials for each role (Renasant: Master Treasury Management Agreement, Part II). Neither changes your import, but the client should know, and your User access should stay limited to viewing and downloading.

Which route for which months

  • Going forward: whatever connection the client already has or QuickBooks offers, set up by the client, starting after the last month you've imported.
  • Recent months: the transaction history export, in whatever format the screen offers, one statement period at a time, checked against the statement.
  • The last 18 months, Xero, or an account about to close: the PDF e-Statements from Statements and Documents, downloaded as a zip and saved now.
  • Older than the archive: statement reprints or research copies, priced first.

QuickBooks Online

Xero

  • Renasant Bank is on Xero's US list of banks with validated PDF extraction (checked 27 Oct 2026), so high-quality results are likely, but Xero says it validates selected statement types and recommends OFX over PDF when your bank offers it. Renasant's documents don't name an OFX download. Xero's PDF import is for US and Canada organizations, not the Xero Ledger plan; files must be English, 35 MB or less, up to 100 pages, at least 200 DPI, not password protected, one file per bank account (Xero Central: import a PDF bank statement). Unzip the download first and import each account's statements separately. Check every imported month against the statement.
  • If you build a CSV instead, Xero needs at least Date and Amount, with money in positive and money out negative in one column, and no opening or closing balance columns (Xero Central: import a bank statement in CSV format). Renasant doesn't document its export columns, so open the file and map them yourself.
  • Xero treats lines matching ones already in Xero as duplicates and won't import them (Xero Central), but don't rely on that; import only the months the account doesn't already have.

More detail: how to import bank statements into Xero from a PDF and closed bank account statements into QuickBooks or Xero.

Tie out each month before you import

  1. Opening balance + deposits − withdrawals = closing balance on the Renasant statement, to the cent.
  2. Chain the months: each closing balance equals the next statement's opening balance.
  3. Sum the file's or feed's lines for the statement period and compare them with the statement's net change. A difference usually means a missing transaction type, an export date range off by a day, or a month missing from the zip.
  4. Spot-check the first and last days of the period and the largest few items against the PDF.

The full method is in check a bank statement PDF is complete before you import it. Our free tie-out checker runs in your browser and shows the row where a CSV stops balancing. Then reconcile one statement at a time, oldest first; if QuickBooks says the beginning balance is off, see beginning balance doesn't match.

Where LedgerReady fits

For Renasant, e-Statements stay online for about 18 months from enrollment and no longer than that, and nothing we read names an export format for QuickBooks or Xero, so PDF statements, downloaded and saved while they're online, are the record for older months, Xero and an account about to close. If you'd rather not convert and check each month yourself, LedgerReady turns digital statement PDFs into a QBO file, a Xero CSV, a plain CSV and a tie-out sheet showing every month matches its opening and closing balance. It costs $15 per statement-month, and we aim to deliver within 12 hours. Tie-out guarantee: if the output doesn't reconcile to the statement's opening and closing balances and we can't fix it, you don't pay for that statement.

Skip the manual work

We turn statement PDFs into QBO, Xero and CSV files plus a tie-out sheet. $15 per statement-month, $149 for a 12-month catch-up. Prefer to check it yourself? Our tie-out checker runs in your browser. See how pros do catch-up.
