WesBanco statement to QuickBooks or Xero: seven years of eStatements, Web Connect files, user access and tie-out
WesBanco calls its business digital banking platform CashFlow Connect, and its Business Online Banking page lists QuickBooks integration, account reconciliation with check images and eStatements among the features (WesBanco: CashFlow Connect). Its Notices and Fees page links the Business Deposit Account Agreement, the business fee schedule, the Treasury Management Services Master Agreement and a set of QuickBooks and Quicken conversion instructions (WesBanco: Notices and Fees). Here's what those documents say, and don't, about getting a business account's history into QuickBooks or Xero. This guide covers WesBanco business accounts used through CashFlow Connect. If the client also has treasury services, ask their treasury contact what reports and files they already receive, because the documents we read describe those services in general terms only.
What WesBanco gives you
- Up to seven years of statements online. The CashFlow Connect page says the paperless monthly statement is delivered to the WesBanco Business Online Banking account, and that you can view up to seven years of statements within Online Banking or the CashFlow Connect mobile app. You need a Business Online Banking login to receive statements electronically (WesBanco: CashFlow Connect). The eStatements page also says you get an email the day a statement is ready for viewing (WesBanco: eStatements).
- Where statements live in Business Online Banking. The enrollment steps on the CashFlow Connect page are: sign in, choose Reports from the top menu, then Statements and Documents, then View and maintain document preferences; pick the account, set the delivery preference to Online, continue, agree and save (WesBanco). That Reports menu is where to look for past statements.
- QuickBooks files and connections. WesBanco's QuickBooks Desktop conversion instructions cover two connection types, Direct Connect and Web Connect, for Windows and Mac. For Web Connect they say to sign in to the online banking site, download the transactions to a QuickBooks (.qbo) file and import it with File, Utilities, Import, Web Connect Files (WesBanco: QuickBooks Desktop Conversion Instructions). The QuickBooks Online instructions cover Express Web Connect, which uses the same credentials as online banking, and Web Connect, where you download a .qbo or .qfx file and upload it in QuickBooks Online (WesBanco: QuickBooks Online Conversion Instructions).
- Free online banking on business checking. The Business Checking page says all WesBanco business checking accounts include free Online Banking, free Mobile Banking and Mobile Deposit, and a choice of monthly statement: an eStatement or a paper statement with images (WesBanco: Business Checking).
- ACH detail for high-volume clients. The CashFlow Connect page says Electronic Data Interchange lets large-volume ACH customers see full addenda records for ACH transactions posted to their accounts, and that this information can be downloaded directly into back-office accounting systems (WesBanco). It doesn't name a file format.
Before you start
- Don't use the client's sign-in. WesBanco's Online Banking Agreement says you should never share your Login Credentials with the bank or anyone else, that the bank is entitled to act on any instructions received under your login information, and that you're responsible for activity performed with your Login Credentials, including activity by others who use them, whether or not you authorized it (WesBanco: Online Banking Agreement and Electronic Disclosure Consent Statement). The Treasury Management Services Master Agreement adds that anyone knowing or holding the client's Security Credentials is treated as an Authorized User, and that the Primary User must not share their credentials with any other person for convenience or administrative purposes (WesBanco: Treasury Management Services Master Agreement).
- Ask the Primary User for your own access. The master agreement says the client designates one or more Primary Users for CashFlow Connect, and that the Primary User's job includes designating additional Authorized Users, adding or removing accounts from their profiles and setting any limits on each Authorized User's authority to access specific information or conduct transactions. Each Authorized User can conduct any transaction within the agreement unless the Primary User limits that authority (WesBanco: Treasury Management Services Master Agreement). So ask the client's Primary User for a separate Authorized User limited to the accounts in scope, with no payments, transfers, ACH or wires, and to confirm it can reach the statements.
- Limits are the client's job. The same agreement makes the Primary User responsible for removing access that's no longer needed and reviewing Authorized User access periodically, and says WesBanco can act on the Primary User's instructions until it gets written notice otherwise (WesBanco). It also recommends dual administration. Ask for the limits in writing, keep a note of what was granted, and ask the client to remove your access when the work is done.
- Keep account details out of email. The Online Banking Agreement recommends not sending emails or other electronic messages containing confidential account information (WesBanco: Online Banking Agreement). Have the client raise the questions below with the bank directly, through online banking's secure messages or a banker, and share statements with you through a secure route rather than as email attachments.
Where WesBanco's documents need checking
- Transaction history around the May 2025 platform change. WesBanco's notice on important changes to Quicken and QuickBooks says it was moving to a new mobile and online banking platform on May 19, set a first action date of May 16, 2025 for a data file backup and a final transaction download, and warned that transaction history might not be available after the upgrade (WesBanco: Important Changes to Quicken and QuickBooks). The CashFlow Connect page now says you can view up to seven years of statements (WesBanco: CashFlow Connect). Those fit together if statements carried over and downloadable transactions didn't, but neither document says so. For a catch-up that reaches back before mid-2025, check which months the client can still download as a file, and plan on the statement PDFs for the rest.
- How long the QuickBooks Online connection was down. The same notice says Intuit aggregation services may be interrupted for up to 3 to 5 business days and encourages downloading a QFX or QBO file during the outage (WesBanco). The QuickBooks Online instructions say Express Web Connect won't be available until 5 business days after the second action date (WesBanco: QuickBooks Online Conversion Instructions). If the client's QuickBooks feed covers May 2025, check that month line by line against the statement, since both documents warn about duplicated or missed transactions.
- Direct Connect sign-ins may differ. The QuickBooks Desktop instructions say Direct Connect might require credentials that don't match online banking credentials, and to contact the bank if the login doesn't work (WesBanco: QuickBooks Desktop Conversion Instructions). The CashFlow Connect page lists QuickBooks integration as a feature but doesn't say which connection type it means or whether it costs anything (WesBanco: CashFlow Connect). Let the client sort out the connection; you work from files and statements.
- The paper statement fee. The CashFlow Connect page footnote says a $6 paper statement fee applies to Community, Free Business, Business First, Business Select and Business Debit Card checking accounts only, and that Business Builder checking has a $5 paper statement fee (WesBanco: CashFlow Connect). The business fee schedule dated 9/1/2026 lists the $6 per statement fee for the same five accounts, but for Business Builder it shows a $10 monthly maintenance fee reduced by $5 for each of two actions, keeping a $500 minimum daily balance and enrolling in e-Statements only, rather than a separate paper statement fee (WesBanco: Business Banking Fee Schedule). The cost of paper is about the same either way, but go by the fee schedule.
- "Free Online Banking" and analysis accounts. The Business Checking page says all business checking accounts include free Online Banking (WesBanco: Business Checking), while the fee schedule's Business Analysis Account Charges include an Online Access Fee of $25.00 (WesBanco: Business Banking Fee Schedule). If the client is on analysis checking, look at the analysis statement for that charge before assuming access is free.
- Which online banking terms apply. The Online Banking Agreement linked from the Notices and Fees page is dated Eff. 7/30/21 and lists consumer account types, such as checking, statement savings, NOW and money market accounts, consumer loans and mortgages, as the accounts that can be designated (WesBanco: Online Banking Agreement). The Treasury Management Services Master Agreement defines CashFlow Connect as the business digital banking platform; its file name is dated 5-11-26 while its footer reads Rev 1/2025, and it still contains bracketed placeholders such as the Order Form (WesBanco: Treasury Management Services Master Agreement). The client can confirm which terms they accepted when they enrolled.
- Two sets of eStatement steps. The CashFlow Connect page puts statement preferences under Reports, then Statements and Documents (WesBanco: CashFlow Connect), while the eStatements page gives Accounts, then Documents, then Delivery Settings (WesBanco: eStatements). The second set appears to describe personal online banking. If the menu names don't match what the client sees, follow the business steps.
What WesBanco's documents don't say
- Xero. None of the pages or documents we read mention it.
- Whether CashFlow Connect offers a CSV or Excel export, and which columns and sign convention a download uses.
- How many days or months of transactions a .qbo or .qfx download can cover, as opposed to the seven years of statements.
- Whether the seven years of statements include months from before the May 2025 platform change.
- What a copy of a past statement costs. The Online Banking Agreement lists requesting or retrieving a copy of a past statement as a function (WesBanco: Online Banking Agreement), and the fee schedule prices check copies and research time but has no line for statement copies (WesBanco: Business Banking Fee Schedule).
- Whether an Authorized User can be limited to statements only, beyond the general right to limit access to specific information.
- What the QuickBooks integration on the CashFlow Connect page is, and whether Direct Connect carries a fee.
Older months and fees
The business fee schedule dated 9/1/2026 lists check copies at $6.00 per check for the first three and $1.00 each after that, a research fee of $25.00 an hour, a special statement cut-off charge of $5.00 per month per account, and a $5.00 monthly dormant fee for checking, savings and money market accounts with no customer deposit or withdrawal for 12 months (WesBanco: Business Banking Fee Schedule). The Business Deposit Account Agreement says that when you request a copy of a check it may be subject to the fee in the fee schedule, and that canceled checks kept under check safekeeping are destroyed after a reasonable time or as required by law (WesBanco: Business Deposit Account Agreement). With up to seven years of statements online, most catch-ups can be done from the statements in CashFlow Connect. Download every month in the window now and save the check images that go with them. Anything older has to come from the client's own files, or from the bank at a price the schedule doesn't show, so have the client ask first.
Clauses worth telling the client about
The Business Deposit Account Agreement says the client must notify the bank of any discrepancy within 30 days after the statement is mailed or otherwise made available, that without reasonable promptness the client has no claim to the extent the law allows, and that the bank isn't liable for discrepancies reported more than one year after the statement or items were made available, even if it failed to use reasonable care (WesBanco: Business Deposit Account Agreement). Tie out each month within a few weeks of the statement email, so anything odd surfaces inside 30 days. The agreement also says the bank may stop sending statements if the client fails to claim them or gives a wrong address, until the client asks in writing for them to resume (WesBanco), so a run of missing months may mean statements were stopped rather than lost. It describes electronic statements as going to a designated email address and says the client can switch back to paper by written notice (WesBanco), while the Online Banking Agreement says opting out happens on the Change Document Delivery Method page and that additional charges may apply for paper (WesBanco: Online Banking Agreement). Don't suggest switching to paper to fill a gap.
The master agreement says WesBanco has no obligation to store, retain or back up information or data, and that the client is responsible for maintaining and storing its own data created through any service (WesBanco: Treasury Management Services Master Agreement). It also lets either side end a service with 30 days' written notice, and lets the bank suspend or end services immediately in some cases (WesBanco). If an account is about to close or a service is ending, download the statements and any files first. A monthly tie-out supports the client's own review of each statement; it doesn't replace it.
Which route for which months
- Going forward: each month's eStatement, saved as soon as the ready email arrives. If the client uses Web Connect or Express Web Connect, check each month's downloaded lines against the statement.
- Back to mid-2025: a .qbo or .qfx download if CashFlow Connect offers one for those dates, checked against the statements, or the statements themselves.
- Before the May 2025 platform change, up to seven years back: the eStatements in CashFlow Connect, if those months are there, or the client's own saved PDFs or paper statements.
- Anything older than seven years: the client's own paper or saved statements.
QuickBooks Online
- Intuit's manual upload takes a PDF or image statement in English, or a QBO, QFX or CSV file. A list file must be 350 KB or less, with 3 columns (Date, Description, Amount) or 4 (Date, Description, Credit, Debit), up to 1,000 lines per upload (Intuit: manually upload transactions into QuickBooks Online, updated Aug 24, 2026). Intuit says the file should start at least one day before your oldest QuickBooks transaction in that account (Intuit). If a feed already brought in some of a month, upload only the dates it missed, or see duplicate transactions after a bank upload.
- WesBanco's QuickBooks Online instructions describe uploading a downloaded .qbo or .qfx file and choosing the existing QuickBooks account, not Add New, unless you mean to add an account (WesBanco: QuickBooks Online Conversion Instructions). For months with only a statement, plan around the PDF.
- To connect an account, Intuit's steps are in Intuit: connect bank and credit card accounts to QuickBooks Online, which says accountants can't connect a bank account for their clients. Let the client sign in for that step.
- For QuickBooks Desktop, Intuit describes Web Connect as a .QBO file you download from your bank and import (Intuit: set up bank accounts for Bank Feeds in QuickBooks Desktop), and says you can't download the same transactions into a company file more than once, and once you delete downloaded transactions you can't download them again (Intuit: download bank feed transactions in QuickBooks Desktop, updated Aug 5, 2026). WesBanco's Desktop instructions add a warning to note your last successful upload, because overlapping dates in a new download can cause duplicates (WesBanco: QuickBooks Desktop Conversion Instructions). Back up the company file before you import anything; for months with only a PDF, see can QuickBooks Desktop import a PDF bank statement.
Xero
- WesBanco is on Xero's US list of banks with validated PDF extraction, as "WesBanco Bank" (checked 27 Oct 2026), so high-quality results are likely, but Xero says it validates selected statement types and recommends OFX over PDF when your bank offers it. WesBanco's documents mention .qbo and .qfx files but not OFX or Xero, so the eStatement PDF is the likely route. Xero's PDF import is for US and Canada organizations, not the Xero Ledger plan; files must be English, 35 MB or less, up to 100 pages, at least 200 DPI, not password protected, one file per bank account (Xero Central: import a PDF bank statement). Import each account's statements separately and check every imported month against the statement.
- If you build a CSV instead, Xero needs at least Date and Amount, with money in positive and money out negative in one column, and no opening or closing balance columns (Xero Central: import a bank statement in CSV format).
- Xero treats lines matching ones already in Xero as duplicates and won't import them (Xero Central), but don't rely on that; import only the months the account doesn't already have.
More detail: how to import bank statements into Xero from a PDF and closed bank account statements into QuickBooks or Xero.
Tie out each month before you import
- Opening balance + deposits − withdrawals = closing balance on the WesBanco statement, to the cent.
- Chain the months: each closing balance equals the next statement's opening balance. If a month is missing online, check whether it went out on paper, falls outside the seven years, or predates the May 2025 platform change.
- Sum the file's or feed's lines for the statement period and compare them with the statement's net change. A difference usually means a missing transaction type, a date range off by a day, or a duplicate from an overlapping download.
- Spot-check the first and last days of the period and the largest few items against the PDF, using the check images for any check that doesn't match.
The full method is in check a bank statement PDF is complete before you import it. Our free tie-out checker runs in your browser and shows the row where a CSV stops balancing. Then reconcile one statement at a time, oldest first; if QuickBooks says the beginning balance is off, see beginning balance doesn't match.

Where LedgerReady fits
For WesBanco, statements stay online for up to seven years, but nothing we read says how far back a .qbo or .qfx download reaches, WesBanco warned that transaction history might not survive the May 2025 platform change, and its documents don't mention Xero, so the PDF statements are the record for most catch-ups, for Xero and for an account about to close. If you'd rather not convert and check each month yourself, LedgerReady turns digital statement PDFs into a QBO file, a Xero CSV, a plain CSV and a tie-out sheet showing every month matches its opening and closing balance. It costs $15 per statement-month, and we aim to deliver within 12 hours. Tie-out guarantee: if the output doesn't reconcile to the statement's opening and closing balances and we can't fix it, you don't pay for that statement.
Skip the manual work
We turn statement PDFs into QBO, Xero and CSV files plus a tie-out sheet. $15 per statement-month, $149 for a 12-month catch-up. Prefer to check it yourself? Our tie-out checker runs in your browser. See how pros do catch-up.
