Woodforest National Bank statement to QuickBooks or Xero: .QBO downloads, eStatements, limited access and tie-out

Woodforest National Bank's Quicken / QuickBooks page says you can use Online Banking to download account transactions and upload them to Intuit Quicken or QuickBooks, and walks through choosing an account, a date range and a file format (Woodforest National Bank: Quicken / QuickBooks). Its Online and Mobile Banking page lists viewing current and past statements and check images, eStatements, and daily email notifications (Woodforest National Bank: Online and Mobile Banking). Here's what those documents say, and don't, about getting a business account's history into QuickBooks or Xero. This guide covers Woodforest National Bank small business accounts used through Woodforest Online Banking. Woodforest's business checking pages list sole proprietor documents for 17 states (Woodforest National Bank: Business Simple Checking). One thing to know first: every online banking and QuickBooks page we found sits in Woodforest's personal section. We found no separate business online banking page, so read what follows as the bank's general online banking documents applied to a business account.

What Woodforest National Bank gives you

  • A .QBO download. The Quicken / QuickBooks page says to log in to Online Banking, select the account on the Account Summary page, click Download Transactions under I Would Like To in the left menu, select the date range, pick Intuit QuickBooks (.QBO) from the Format list, then download, save and open the file. It says to close QuickBooks before opening the .QBO file. The same steps with Intuit Quicken (.QFX) produce a Quicken file (Woodforest National Bank: Quicken / QuickBooks).
  • Account matching on the first file. The page says that the first time you download for an account, or if QuickBooks can't tell which account the transactions belong to, QuickBooks asks you to use an existing QuickBooks account or create a new one (Woodforest National Bank: Quicken / QuickBooks). Pick the account the books already use.
  • Statements and check images online. The Online and Mobile Banking page says you can view current and past statements and view check images (Woodforest National Bank: Online and Mobile Banking). It also says that once you enroll in eStatements, an email notice goes to the address you designate when a statement is ready, and you log in to view or download the eStatements for the accounts you select. Enrollment is under Service Center, Manage eStatements (Woodforest National Bank).
  • Online banking on the business accounts. Business Simple Checking and Business Account Analysis Checking both list online and mobile banking, daily email notifications, bill pay and mobile deposit among their benefits (Woodforest National Bank: Business Simple Checking, Business Account Analysis Checking).
  • View-only passwords for apps. The security page describes Limited Access Passwords, which give a third-party app view-only access to balance and transaction information. Such a password can't change account settings, can't start transactions and can't reach your main password. You create one per app from the Security tab, under Manage Limited Access Passwords (Woodforest National Bank: Online and Mobile Banking Security).
  • A treasury platform for larger clients. The Treasury Management page says WNB Treasury Manager lets you manage account activities, perform wires and download statements, and that you control access through a secure portal and a specific administrator designation (Woodforest National Bank: Treasury Management).

Before you start

Where Woodforest National Bank's documents don't line up

  • Statements or transactions. A footnote on the Quicken / QuickBooks page says Web Connect only allows statement downloads, and that statement information is downloaded through a secure browser connection and imported into QuickBooks (Woodforest National Bank: Quicken / QuickBooks). The steps on the same page download transactions for a date range you choose. A .QBO file holds transactions, not the statement itself, so treat the PDF statement as the record and check the file against it.
  • Express Web Connect. The Quicken section of that page links to Quicken's help on adding accounts for Express Web Connect (Woodforest National Bank: Quicken / QuickBooks), while the Online and Mobile Banking FAQ says Express Web Connect is not available at this time (Woodforest National Bank: Online and Mobile Banking). Go by the FAQ and plan on downloaded files.
  • Web Connect or Web Connector. The QuickBooks section points readers to an Intuit article on setting up QuickBooks Web Connector (Woodforest National Bank: Quicken / QuickBooks). Web Connector is an Intuit tool for linking other applications to QuickBooks Desktop; it isn't the Web Connect file import the page describes. Skip that link and use Intuit's bank feed articles below.
  • Same settings, different clocks. The FAQ says to update your email address online under Service Center, Manage Email Address (Woodforest National Bank: Online and Mobile Banking). The electronic communications consent in the account terms says you update your email address, or withdraw consent, by phone or at a branch (Woodforest National Bank: Terms and Conditions of Your Account). Either way, statement notices go to that address.
  • Business terms inside a personal overview. The Account Disclosures page lists personal account overviews only (Woodforest National Bank: Account Disclosures). The Terms and Conditions of Your Account we read sit inside the Woodforest Checking overview, and they include sections on business, organization and association accounts and on business accounts with account analysis (Woodforest National Bank). We found no separate business deposit agreement, so ask the client for the copy they got at account opening before relying on any clause below.

What Woodforest National Bank's documents don't say

  • Xero. None of the pages or documents we read mention it.
  • Whether the Format list offers anything besides Intuit QuickBooks (.QBO) and Intuit Quicken (.QFX), such as CSV or plain OFX. The page names only those two.
  • How far back a Download Transactions date range can reach.
  • How many months or years of past statements stay online. The page says current and past statements, with no number.
  • Whether a small business profile shows the same Download Transactions menu as the personal steps describe.
  • Whether the bank supports a direct QuickBooks Online bank connection. The pages describe file downloads, and the security page leaves it to each app's documentation to say where a Limited Access Password goes (Woodforest National Bank: Online and Mobile Banking Security).
  • What file formats WNB Treasury Manager's statement downloads use.
  • What the Online Services Agreement says. The enrollment instructions show it on screen during enrollment (Woodforest National Bank: Online Banking Enrollment Instructions), and we didn't find a public copy.

Daily notifications and analysis statements

The Online and Mobile Banking page says that if you give an email address at account opening, you automatically receive a daily statement of transaction activity, account balances and more (Woodforest National Bank: Online and Mobile Banking). The account terms call these daily account notifications (Woodforest National Bank: Terms and Conditions of Your Account). They aren't the periodic statement. Tie out to the monthly statement.

Business Account Analysis Checking is analyzed monthly and has an earnings credit that can reduce or eliminate monthly service charges (Woodforest National Bank: Business Account Analysis Checking). The account terms say the earnings credit is disclosed on the analysis statement, that its rate won't exceed 4.50 percent, and that an earnings credit beyond the month's charges isn't carried forward (Woodforest National Bank: Terms and Conditions of Your Account). The Treasury Management page says businesses using treasury services may need a business checking account on account analysis, with fees assessed through it (Woodforest National Bank: Treasury Management). For these clients, keep the analysis statement with the account statement. It explains the service charge that posts.

Older months and fees

Woodforest's Schedule of Fees (Rev 11/01/2025) applies to all of your accounts except certificates and time deposits unless the account overview you got at opening says otherwise. It lists a paper statement fee of $3.00, monthly or quarterly depending on product, an activity printout at $5.00, photocopies at $1.00 per page, research at $25.00 per hour with a one hour minimum plus $1.00 per page for each photocopy ($0.25 for Ohio residents), and balance confirmation at $20.00 (Woodforest National Bank: Schedule of Fees). The account terms say you won't receive your canceled checks, that the bank stores them or copies for a reasonable retention period, and that you can request copies in the manner the bank requires (Woodforest National Bank: Terms and Conditions of Your Account). The electronic communications consent says you can print or save a PDF of any electronic communication and that a paper copy from the bank is free (Woodforest National Bank); it doesn't say whether that covers a past statement or only notices sent under the consent. We found no line in the fee schedule for a statement copy as such.

So download every statement and check image the client can see now, while it costs nothing. For months that are no longer online, have the client ask the bank what a copy costs before requesting a stack of them, since research is billed by the hour.

Clauses worth telling the client about

The account terms say you must examine your statement with reasonable promptness. For an unauthorized signature or alteration, the time to report depends on the circumstances but can't exceed 30 days from when the statement is first sent or made available, or 14 days in New York, and there is an absolute 60 day limit for those claims regardless of the care either side took. For any other error, such as an encoding error or an unexpected deposit amount, the time also can't exceed 60 days (Woodforest National Bank: Terms and Conditions of Your Account). The terms also say you must tell the bank immediately if you don't receive a statement, and that, unless the bank failed to use ordinary care, not receiving it doesn't extend the review period (Woodforest National Bank). A catch-up that starts months later can't recover those windows, so tell the client, and tie out each new month as soon as the statement posts.

The electronic communications consent says the bank won't give electronic access to periodic statements unless you separately request it through Online Services and consent at that time. It also says that if one owner consents, all owners are bound, that paper communications then stop for that account, and that a bounced email may be resent to another address the bank has on file, with the bank free to mail to the postal address at any time (Woodforest National Bank: Terms and Conditions of Your Account). Check that the client actually enrolled in eStatements for every business account, rather than assuming paper stopped.

The terms also say that if the bank offers services meant to catch fraudulent items, such as positive pay, and you decline them, you're responsible for losses those services could have prevented (Woodforest National Bank). A monthly tie-out helps spot an item the client didn't expect. It supports the client's own review of each statement; it doesn't replace it.

Which route for which months

  • Going forward: each month's eStatement, saved when the email notice arrives. If the client downloads .QBO files, check each month's lines against the statement.
  • Recent months: a .QBO download for those dates if Online Banking still offers it, checked against the statements, or the statements themselves.
  • Anything not online: the client's own saved statements, or copies from the bank once the client knows the price.

QuickBooks Online

Xero

  • Woodforest National Bank is on Xero's US list of banks with validated PDF extraction, as "Woodforest National Bank" (checked 27 Oct 2026), so high-quality results are likely, but Xero says it validates selected statement types and recommends OFX over PDF when your bank offers it. Woodforest's pages name .QBO and .QFX files but not OFX or Xero, so the statement PDF is the likely route. Xero's PDF import is for US and Canada organizations, not the Xero Ledger plan; files must be English, 35 MB or less, up to 100 pages, at least 200 DPI, not password protected, one file per bank account (Xero Central: import a PDF bank statement). Check every imported month against the statement.
  • If you build a CSV instead, Xero needs at least Date and Amount, with money in positive and money out negative in one column, and no opening or closing balance columns (Xero Central: import a bank statement in CSV format).
  • Xero treats lines matching ones already in Xero as duplicates and won't import them (Xero Central), but don't rely on that; import only the months the account doesn't already have.

More detail: how to import bank statements into Xero from a PDF and closed bank account statements into QuickBooks or Xero.

Tie out each month before you import

  1. Opening balance + deposits − withdrawals = closing balance on the Woodforest statement, to the cent.
  2. Chain the months: each closing balance equals the next statement's opening balance. If a product sends quarterly statements, chain the quarters the same way.
  3. Sum the .QBO file's lines for the statement period and compare them with the statement's net change. A difference usually means a date range off by a day, a duplicate from an overlapping download, or an item that posted after the file was made.
  4. Spot-check the first and last days of the period and the largest few items against the PDF, using the check images for any check that doesn't match. For an analysis account, confirm the service charge on the statement matches the analysis statement.

The full method is in check a bank statement PDF is complete before you import it. Our free tie-out checker runs in your browser and shows the row where a CSV stops balancing. Then reconcile one statement at a time, oldest first; if QuickBooks says the beginning balance is off, see beginning balance doesn't match.

Where LedgerReady fits

For Woodforest National Bank, nothing we read says how many months of statements stay online or how far back a .QBO download reaches, copies are priced as research by the hour, and Woodforest's documents don't mention Xero, so the PDF statements are the record for most catch-ups, for Xero and for an account about to close. If you'd rather not convert and check each month yourself, LedgerReady turns digital statement PDFs into a QBO file, a Xero CSV, a plain CSV and a tie-out sheet showing every month matches its opening and closing balance. It costs $15 per statement-month, and we aim to deliver within 12 hours. Tie-out guarantee: if the output doesn't reconcile to the statement's opening and closing balances and we can't fix it, you don't pay for that statement.

Skip the manual work

We turn statement PDFs into QBO, Xero and CSV files plus a tie-out sheet. $15 per statement-month, $149 for a 12-month catch-up. Prefer to check it yourself? Our tie-out checker runs in your browser. See how pros do catch-up.
