KeyBank statement to QuickBooks or Xero: Web Connect, QuickBooks Online, PDF statements and tie-out
KeyBank (KeyBank National Association) serves small businesses through KeyBank Business Online. Its public pages cover linking accounts to QuickBooks, importing transaction files, and where online statements live, but most of the detail sits on pages written for personal online banking. Here's what KeyBank documents, and what it doesn't, for getting a business account's history into QuickBooks or Xero.
What KeyBank gives you
- A QuickBooks Online link, and Web Connect imports. KeyBank's FAQ says you can link accounts or import transactions into Quicken or QuickBooks from KeyBank online banking or KeyBank Business Online. For QuickBooks it lists "QuickBooks Online: Add and sync bank accounts" and "Import Transactions with Web Connect or Quicken File eXchange" (KeyBank: Online & Mobile Banking FAQs, no date).
- Third-party access has to be on. The same FAQ says the third-party access toggle is under User Profile → Security Center in KeyBank Business Online (in the app, More → Security Center) (KeyBank). If a QuickBooks link won't connect, check this first.
- Online statements in Doc Hub. KeyBank's statements page says to sign on and click Doc Hub at the top right; you get a monthly email when the latest statement is ready, can review up to seven years of statements for checking, savings, loans and lines of credit, and credit cards, and can download them (KeyBank: Online Bank Statements, no date). The FAQ's statement troubleshooting tells you to open statements in Adobe Acrobat Reader (KeyBank).
- Business Online basics. KeyBank Business Online lets you view checks, account statements and transactions and manage multiple users and accounts (KeyBank: KeyBank Business Online, no date). Its services agreement lists "download of financial data to a third party" among the basic features included at no additional charge (KeyBank: KeyBank Business Online Services Agreement, effective April 2025).
Things to know before you start
- Bookkeeper access. KeyBank says Business Online lets you set customized permissions so employees can manage accounts "or simply monitor them" (KeyBank). The services agreement says the Administrator sets up Users and their entitlements, and that a company may authorize an agent or service bureau as a User (KeyBank: services agreement). Ask your client to set you up as your own User with only the access you need; don't share their login. Intuit says accountants can't connect a bank account for their clients (Intuit: connect bank and credit card accounts, updated Oct 1, 2026).
- The statement is the official record. The services agreement says that if an online account report conflicts with the bank's mailed official statement, the statement controls, and that the company is responsible for regularly reviewing its statements (KeyBank). That's one more reason to tie every month to the statement, not to a screen of activity.
- Unused logins can lapse. The services agreement says KeyBank may suspend or end Business Online access if it isn't used for three months or more, and a login not used for 15 months may be locked and need multifactor authentication to unlock (KeyBank). For a catch-up job on an old account, check the client can still sign in before you plan around it.
- Account Analysis statements. If the account enrolled in Business Online is a business checking account with an earnings credit allowance, KeyBank says it is converted to Account Analysis and a monthly Account Analysis Statement is sent (KeyBank). Tie out to the account statement; the analysis statement is about fees.
- Personal accounts in business view. KeyBank offers an option to show KeyBank personal accounts in the business view (KeyBank). Make sure every file and statement you pull belongs to the business account you're booking.
Where KeyBank's pages need checking
- QFX isn't a QuickBooks file. KeyBank's FAQ lists "Web Connect or Quicken File eXchange" under QuickBooks (KeyBank). Intuit says QuickBooks Desktop Web Connect only works with .qbo files, and QFX and QIF Quicken files won't work (Intuit: download bank feed transactions in QuickBooks Desktop, updated Aug 5, 2026). For QuickBooks Desktop, download the QuickBooks (.qbo) format.
- Business vs personal pages. The FAQ and the statements page are on KeyBank's personal online banking pages. The FAQ answer on QuickBooks names KeyBank Business Online, but the seven-year statement window is stated on the personal statements page (KeyBank); the Business Online page only says you can view statements (KeyBank). Check how far back Doc Hub goes for your client's business account before you rely on it.
What KeyBank's pages don't say
- Download formats and date ranges. The pages we read name Web Connect and Quicken File eXchange but don't list a CSV option or say how far back a download reaches. Intuit says some banks let you set a date range and others give you only what's available on the first download, which may be 30, 60, 90 days or more (Intuit). For anything older, use the statements.
- How far back the QuickBooks Online link reaches. Not stated.
- Xero. KeyBank's pages mention only Quicken and QuickBooks. We didn't find a page about a Xero bank feed; we haven't confirmed one either way.
- Statements after closing. Not covered. Download every month the books need before the account closes.
- The statement file format. The FAQ points to Adobe Acrobat Reader, which suggests a PDF, but no page we read says so outright; check you get a digital PDF, not a printout.
Which route for which months
- Going forward on QuickBooks Online: the KeyBank link, with third-party access turned on.
- QuickBooks Desktop: a .qbo Web Connect download, in date ranges that don't overlap anything already in the company file.
- Months older than the download reaches, Xero, or a closed account: the Doc Hub statements.
- Every month: tie the imported lines out to the statement before you reconcile (below).
QuickBooks Online
- Intuit's manual upload takes a PDF or image statement in English, or a QBO, QFX or CSV file. A list file must be 350 KB or less, with 3 columns (Date, Description, Amount) or 4 (Date, Description, Credit, Debit), up to 1,000 lines per upload (Intuit: manually upload transactions into QuickBooks Online, updated Aug 24, 2026). Intuit says the file should start at least one day before your oldest QuickBooks transaction in that account (Intuit). If the link already brought in some of a month, see duplicate transactions after a bank upload.
- In QuickBooks Desktop, Intuit says you can't download the same transactions into a company file more than once, and once you delete downloaded transactions you can't download them again (Intuit). Back up the company file first. For months with only a PDF, see can QuickBooks Desktop import a PDF bank statement.
Xero
- KeyBank is on Xero's list of banks with validated PDF extraction (checked 26 Oct 2026), so high-quality results are likely, but Xero says it validates selected statement types and recommends OFX over PDF when your bank offers it. Xero's PDF import is for US and Canada organizations, not the Xero Ledger plan; files must be English, 35 MB or less, up to 100 pages, at least 200 DPI, not password protected, one file per bank account (Xero Central: import a PDF bank statement). Check every imported month against the statement.
- If you build a CSV instead, Xero needs at least Date and Amount, with money in positive and money out negative in one column, and no opening or closing balance columns (Xero Central: import a bank statement in CSV format).
- Xero treats lines matching ones already in Xero as duplicates and won't import them (Xero Central), but don't rely on that; import only the months the account doesn't already have.

Tie out each month before you import
- Opening balance + deposits − withdrawals = closing balance on the KeyBank statement, to the cent.
- Chain the months: each closing balance equals the next statement's opening balance.
- Sum the file's or feed's lines for the statement period and compare them with the statement's net change. A difference usually means a missing transaction type, an overlapping download, or a date range off by a day.
- Spot-check the first and last days of the period and the largest few items against the PDF.
The full method is in check a bank statement PDF is complete before you import it. Our free tie-out checker runs in your browser and shows the row where a CSV stops balancing. Then reconcile one statement at a time, oldest first; if QuickBooks says the beginning balance is off, see beginning balance doesn't match.

Where LedgerReady fits
For KeyBank on QuickBooks, use the bank link or a .qbo download for the months it covers; the Doc Hub statements matter for older months, Xero, or a closed account, and for any month you want tied to the bank's official balances. If you'd rather not convert and check each month yourself, LedgerReady turns digital statement PDFs into a QBO file, a Xero CSV, a plain CSV and a tie-out sheet showing every month matches its opening and closing balance. It costs $15 per statement-month, and we aim to deliver within 12 hours. Tie-out guarantee: if the output doesn't reconcile to the statement's opening and closing balances and we can't fix it, you don't pay for that statement.
Skip the manual work
We turn statement PDFs into QBO, Xero and CSV files plus a tie-out sheet. $15 per statement-month, $149 for a 12-month catch-up. Prefer to check it yourself? Our tie-out checker runs in your browser. See how pros do catch-up.
