Webster Bank statement to QuickBooks or Xero: e-Treasury exports, e-Statements and tie-out

Webster Bank moved its business customers off Business Online Banking and onto the e-Treasury New UI in 2026, and moved e-Treasury Business Banking users onto the same New UI in September. Its migration pages say QuickBooks and Quicken connections had to be set up again, and its own pages give different answers on how much history is online. Here's what Webster documents, and what it doesn't, for getting a business account's history into QuickBooks or Xero. This guide covers business accounts on the e-Treasury New UI at websterbank.com only, not Webster's commercial platforms or its personal online banking.

What Webster gives you

  • e-Statements. Webster's New UI guide says you open Account Information, E-Statements, enter a statement type (account statements, account analysis statements or returned deposited items) and an account number, choose a search period from a drop-down, then use the arrow beside a result to view or print it (Webster: e-Treasury New UI guide, pages 16 and 17, undated). The migration page lists e-Statement and tax document viewing among the New UI features (Webster: Business Online Banking migration).
  • Transaction search and Quick View. The guide says Transaction Search finds items by account, date range, amount or check number, and that Quick View has print and download options (Webster: New UI guide, pages 14 and 15). It doesn't name the download file types on those screens.
  • Reports. The guide lists Balance and Transaction Reporting, Previous Day Balance Reporting and other reports under Reports, each with a Download option, and says a custom report lets you choose accounts, the data shown, the format, the delivery method and a schedule (Webster: New UI guide, pages 96 to 98). Webster's e-Treasury page says reporting "seamlessly integrate[s]" with accounting software and lists information delivery through web, desktop connection, file delivery and SWIFT (Webster: Business e-Treasury, no date).
  • QuickBooks and Quicken links. The migration page lists account linking to Quicken and QuickBooks as a New UI feature (Webster). Webster's QuickBooks Online conversion instructions cover two ways in: Express Web Connect, set up from inside QuickBooks, and Web Connect, a .qbo or .qfx file you download from online banking and upload with Banking, File Upload (Webster: QuickBooks Online conversion instructions, undated). The QuickBooks Desktop instructions cover Direct Connect and Web Connect .qbo files imported with File, Utilities, Import, Web Connect Files (Webster: QuickBooks Desktop conversion instructions, undated).

Before you start

  • Bookkeeper access. Webster's e-Treasury page says the business sets roles, grants permissions and authorizes accounts for each person (Webster). The migration page says the Company Administrator manages user access and entitlements (Webster), and the New UI guide says an administrator adds a user under Administration, Users, sets a temporary password, then assigns services and accounts (Webster: New UI guide, pages 127 to 134). Ask the client's administrator to add you as your own user with access to the accounts you need. Intuit says accountants can't connect a bank account for their clients (Intuit: connect bank and credit card accounts, updated Oct 1, 2026).
  • Don't use the client's login. Webster's Online Banking for Business Terms say you agree not to give your password or credentials to unauthorized individuals, and that you're responsible for everything done by anyone you give them to (Webster: Online Banking for Business Terms, effective November 1, 2021).
  • A code at every sign-in. The migration page says a one-time passcode is emailed at every login (Webster). Plan for that before a deadline.
  • Save statements while they're online. Both migration pages say existing statements stayed accessible with a 24-month lookback (Webster; Webster: e-Treasury migration). Webster's own pre-migration checklist told clients to export any statements, transaction reports and tax documents they wanted to keep (Webster: client action checklist). Download every statement the books need now, and before a client closes or moves an account.

Where Webster's pages need checking

  • 18 months of history, or current and prior day? Webster's e-Treasury page says you can access 18 months of history (Webster). The Business Online Banking migration page says historical transaction data remained available, but its FAQ answers "Are my transaction and payment history available?" with current-day and prior-day account activity (Webster). The e-Treasury migration page says transaction history was retained (Webster). Before you plan a catch-up around downloads, check the earliest date Transaction Search or a report actually returns for the client's account.
  • Which file types? Webster's 2023 e-Treasury documents list Balance and Transaction Reporting formats as BAI2, PDF, QuickBooks Web Connect, Quicken Web Connect, MT940, MT942, MT950 and CSV (Webster: Balance and Transaction Reporting, July 2023), and Quick View downloads as PDF, CSV, SWIFT, QuickBooks and Quicken (Webster: Quick View account activity, July 2023). Those documents predate the 2026 New UI, and the New UI guide doesn't list formats (Webster). Intuit says QuickBooks Desktop imports Web Connect files in .qbo format (Intuit: set up bank accounts for Bank Feeds in QuickBooks Desktop, updated Aug 5, 2026), so check the file's extension before you import it.
  • Generic conversion instructions. Both QuickBooks documents refer to a 1st and 2nd "Action Date" that "will be provided to you by your financial institution" and don't name the dates (Webster; Webster). The migration pages say Business Online Banking access ended on Monday, July 13, and the e-Treasury Business Banking move was completed September 22, 2026 (Webster; Webster). If a client's QuickBooks feed stopped around either date, the connection may never have been set up again.
  • Logging in from QuickBooks. The QuickBooks Online instructions say Express Web Connect uses the same credentials as online banking (Webster). The 2021 terms say sharing your user ID and password with an information aggregator or screen scraper is at your own risk, and that Webster may end online access if it believes one is getting into your accounts (Webster). The pages don't say how the two fit together. If a connection asks for a Webster sign-in, the client should enter their own, or you should use your own user.
  • Which entity? The site footer names Webster Bank as a division of Santander Bank, N.A., while the 2021 terms are with Webster Bank, N.A. (Webster). We didn't find newer business online banking terms. Ask the client which agreement they accepted in e-Treasury.

What Webster's pages don't say

  • Statements older than 24 months. The pages we read don't say how to get them. Webster's fee schedule lists $5.00 for a statement photocopy and $35.00 for an hour of research (Webster: Fee Schedule, effective August 20, 2026). It doesn't list a fee for e-Treasury or a QuickBooks connection, and we didn't read the E-Statement Disclosure the terms refer to.
  • Tax documents right after the move. The Business Online Banking migration page says e-Tax Statements would not be available immediately after migration and doesn't say when they returned (Webster).
  • What the export contains. The pages don't describe the columns in a CSV or report download, or whether a running balance is included in the New UI.
  • Limited users. The pages don't say which entitlements a user needs to open e-Statements or download reports. Ask the administrator to check yours.
  • Xero. We didn't find a Webster page about a Xero bank feed; we haven't confirmed one either way.

Which route for which months

  • Going forward on QuickBooks Online: whatever connection QuickBooks offers for Webster in the client's file, set up by the client, or Web Connect .qbo or .qfx uploads in date ranges that don't overlap anything already imported.
  • Going forward on QuickBooks Desktop: Web Connect .qbo files, or Direct Connect if the client has it set up.
  • Recent months: downloads from Transaction Search, Quick View or Reports, once you've confirmed the file type and the earliest date they return.
  • Older months, Xero, the months around a migration, or an account about to close: the PDF e-Statements, downloaded and saved within the 24-month lookback.
  • Every month: tie the imported lines out to the statement before you reconcile (below).

QuickBooks Online

  • Intuit's manual upload takes a PDF or image statement in English, or a QBO, QFX or CSV file. A list file must be 350 KB or less, with 3 columns (Date, Description, Amount) or 4 (Date, Description, Credit, Debit), up to 1,000 lines per upload (Intuit: manually upload transactions into QuickBooks Online, updated Aug 24, 2026). Intuit says the file should start at least one day before your oldest QuickBooks transaction in that account (Intuit). Webster's instructions say to exclude duplicates after reconnecting, with Batch Actions, Exclude Selected (Webster). If a connection already brought in some of a month, see duplicate transactions after a bank upload.
  • Webster's Desktop instructions say overlapping dates in a Web Connect file create duplicate transactions and tell you to back up the company file first (Webster). Intuit says you can't download the same transactions into a QuickBooks Desktop company file more than once, and once you delete downloaded transactions you can't download them again (Intuit: download bank feed transactions in QuickBooks Desktop, updated Aug 5, 2026). For months with only a PDF, see can QuickBooks Desktop import a PDF bank statement.

Xero

  • Xero's US list of banks with validated PDF extraction includes "Webster Bank", and separately "Sterling National Bank" (checked 26 Oct 2026). Xero doesn't say which statement designs it validated, so a statement from before or after Webster's 2026 changes may read differently. Xero also says it validates selected statement types, that accuracy might vary for banks it hasn't validated, and recommends OFX over PDF when your bank offers it. Webster's New UI guide doesn't say whether its downloads include OFX. Xero's PDF import is for US and Canada organizations, not the Xero Ledger plan; files must be English, 35 MB or less, up to 100 pages, at least 200 DPI, not password protected, one file per bank account (Xero Central: import a PDF bank statement). Check every imported month against the statement.
  • If you build a CSV instead, Xero needs at least Date and Amount, with money in positive and money out negative in one column, and no opening or closing balance columns (Xero Central: import a bank statement in CSV format).
  • Xero treats lines matching ones already in Xero as duplicates and won't import them (Xero Central), but don't rely on that; import only the months the account doesn't already have.

More detail: how to import bank statements into Xero from a PDF and closed bank account statements into QuickBooks or Xero.

Tie out each month before you import

  1. Opening balance + deposits − withdrawals = closing balance on the Webster statement, to the cent.
  2. Chain the months: each closing balance equals the next statement's opening balance, including across the July and September 2026 migrations.
  3. Sum the file's or feed's lines for the statement period and compare them with the statement's net change. A difference usually means a missing transaction type, an overlapping download, or a date range off by a day.
  4. Spot-check the first and last days of the period and the largest few items against the PDF.

The full method is in check a bank statement PDF is complete before you import it. Our free tie-out checker runs in your browser and shows the row where a CSV stops balancing. Then reconcile one statement at a time, oldest first; if QuickBooks says the beginning balance is off, see beginning balance doesn't match.

Where LedgerReady fits

For Webster, QuickBooks connections had to be set up again after the 2026 migrations, Webster's pages disagree on how much transaction history is online, and statements stay available with a 24-month lookback, so the PDF statements, saved while they're available, are the record for older months, Xero, the months around a migration, an account about to close, and any month you want tied to the bank's statement balances. If you'd rather not convert and check each month yourself, LedgerReady turns digital statement PDFs into a QBO file, a Xero CSV, a plain CSV and a tie-out sheet showing every month matches its opening and closing balance. It costs $15 per statement-month, and we aim to deliver within 12 hours. Tie-out guarantee: if the output doesn't reconcile to the statement's opening and closing balances and we can't fix it, you don't pay for that statement.

Skip the manual work

We turn statement PDFs into QBO, Xero and CSV files plus a tie-out sheet. $15 per statement-month, $149 for a 12-month catch-up. Prefer to check it yourself? Our tie-out checker runs in your browser. See how pros do catch-up.
